The Bedford-Stuyvesant Family Health Center (BSFHC) is a Federally Qualified Health Center (FQHC) that serves all of the primary health care needs of families in the heart of North and Central Brooklyn. We are seeking An Executive Assistant to the Chief Medical Officer join our team. The Executive Assistant will perform a variety of high-level administrative duties to ensure smooth and efficient clinical operations, while maintaining the highest level of confidentiality.

Duties And Responsibilities Include But Not Limited To

  • Provide Executive Assistant to Chief Medical Officer
  • Support the members of the Executive Team with a variety of administrative tasks
  • Assist with special projects requiring extensive use of Excel and/or PowerPoint
  • Proactively prepare, gather and analyze data required for meetings and conferences for team members
  • Handle inquiries and interact with executives and colleagues, within and outside contacts
  • Maintain and manage calendars including group-wide meeting arrangements
  • Coordinate and organize schedule for executives as required
  • Proactively Coordinate with internal departments when issues arise or as needed.
  • Take minutes of staff meetings, transcribe materials and distributes to designated personnel.
  • Answer routine correspondence on own initiative.
  • Answer telephone inquiries, identify the requests/issues, resolve and/or reroute as necessary, take accurate messages.
  • Collaborate with fellow team members within multiple departments whenever necessary to maintain positive working relationships.
  • Preparing documents, filing, running errands etc.

Education/Experience Required

  • Bachelor's degree preferred
  • 2-5 years of relevant experience in a healthcare environment
  • Strong proficiency in MS Office Outlook, Word, PowerPoint and Excel

  • Demonstrate strong self-starter, independent, pro-active, and self-motivated.
  • Ability to carry out administrative functions proficiently and complete quality work on a timely basis.
  • Demonstrate resourcefulness with proven ability to anticipate needs, prioritize responsibilities, manage multiple priorities with tight timelines, and take initiative.
  • Ability to work well both in team environment as well as operate independently with minimal supervision.
  • Ability to analyze organizational and administrative problems, multitask, and adapt to changing priorities.
  • Strong sense of urgency, self-motivated, reliable, and resourceful.
  • Excellent verbal and written communication, and time management skills.
  • Ability to troubleshoot, problem-solve, and anticipate issues needing resolution.
  • Written skills: Produces well thought-out, professional correspondence, free of grammatical and spelling errors.
  • Very tech-savvy, especially skilled in the Microsoft Office suite. Ability to learn new software applications, as needed and improve processes and procedures

Salary: 60,000 based on experience.
