Manager, Fleet and Maintenance Procurement at Pilot Thomas Logistics
Position Summary:
The Fleet & Maintenance Procurement Manager is responsible for executing procurement strategies and managing vendor relationships for fleet assets, maintenance services, parts, and equipment within Pilot Thomas Logistics. This role applies broad functional knowledge to ensure cost-effective purchasing while maintaining compliance, safety, and fleet reliability. The position operates with moderate autonomy, following established policies and guidelines, and collaborates closely with operations teams to support preventive maintenance and minimize downtime.
Essential Responsibilities:
- Manage sourcing and purchasing for vehicle parts, tires, repair services, and safety systems under defined procurement frameworks.
- Monitors and facilitate cost management and cost control activities.
- Maintain supplier relationships, monitor performance, and ensure adherence to service-level agreements and regulatory standards.
- Track fleet performance metrics (e.g., cost per mile, maintenance trends) to inform purchasing decisions and identify cost-saving opportunities.
- Research and provide leadership with recommendations on supply markets, supply chain dynamics, and industry trends.
- Ensure all procurement activities meet DOT, OSHA, and company safety requirements.
- Partner with fleet supervisors and mechanics to forecast parts needs and support maintenance schedules.
- Budget responsibility typically ranges around $10MM - $15MM annually.
- Works independently within established guidelines; escalates complex issues as needed.
- May manager a small team and provide guidance to junior staff or cross-functional teams.
- Performs other duties as assigned.
Minimum Requirements:
- 5+ years in procurement, preferably in fleet or transportation.
- Familiarity with heavy-duty vehicles, maintenance operations, and compliance standards.
- Proficiency in procurement systems and Microsoft Office tools.
- Must be an effective verbal and written communicator with strong interpersonal, problem solving and conflict resolution skills.
- Flexible and professional approach to an evolving and dynamic environment is essential.
- Successful track record of delivering superior client service.
- Demonstrated ability to work under pressure, appropriately prioritize and organize work effectively.
Education:
- Bachelor’s degree in Supply Chain, Business, or related field (or equivalent experience).
- Certification in APICS or ISM is desired.
Working Conditions:
- Extended schedule may be required as dictated by management and business needs.
- May be required to lift, push, or pull materials weighing up to twenty (20) pounds.
- May be required to sit and review information on a computer screen for long periods of time.
- May require repetitive motions of the hands and wrist related to writing and typing at an electronic keyboard.
- Travel required up to 50%.
