What We’re Looking For
We are seeking a detail-oriented and proactive Part-Time 20 hours per week Fleet Coordinator to oversee and coordinate all aspects of our organization's vehicle fleet. This role is critical to ensuring the safety, efficiency, and regulatory compliance of our fleet operations. The ideal candidate will maintain a structured schedule for preventative maintenance, repairs, and recordkeeping while also contributing to cost-saving initiatives and operational improvements.

The ideal candidate will maintain a structured schedule for preventative maintenance, repairs, and recordkeeping while also contributing to cost-saving initiatives and operational improvements.
What You’ll Do
- Develop and manage a routine schedule for vehicle repairs, preventative maintenance, and safety inspections.
- Coordinate service appointments with relevant departments and external vendors.
- Monitor vehicle recalls and ensure appropriate and timely resolution.
- Manage and troubleshoot GPS tracking systems; respond to alerts or location issues.
- Ensure vehicle documentation (e.g., registration, insurance, service records) is up-to-date and accurately maintained in the fleet management system.
- Review and follow up on monthly vehicle safety inspection checklists for completeness and compliance.
- Track and reconcile fuel usage and mileage data with gas card transactions to prevent misuse.
- Monitor vehicle usage and lifespan; recommend vehicle replacements or retirements when appropriate.
- Maintain an up-to-date master inventory, including vehicle make/model, VIN, registration status, insurance, and assignment records.
- Ensure compliance with internal policies and all relevant local, state, and federal regulations.
- Assist with vehicle leasing, procurement, or disposal in coordination with leadership.
- Generate and present monthly fleet performance reports, identifying trends and areas for improvement.
- Proven experience in fleet management, logistics, or a related operations role
- Strong organizational skills and attention to detail
- Proficiency with fleet management software and Microsoft Office (especially Excel)
- Ability to analyze data and provide actionable insights
- Familiarity with local and federal transportation regulations
- Excellent communication and coordination skills
- Valid driver’s license and clean driving record
Hourly Rate : $20.00-$22.00
