The College of Arts + Sciences has aligned Academic Advising, Undergraduate Recruiting, the Walter Center for Career Achievement, Operations and Strategy, and International Programs to make up a unified, student-serving team, Academic Engagement and Student Experience (AESE). The AESE empowers Arts and Sciences students to thrive within the College community and to prepare for meaningful and successful lives. We facilitate learning, academic success, career development, and global understanding for all students from application to graduation.

The Operations Assistant supports the College's Academic Engagement and Student Experience Team, with an emphasis on support to career services offered through the Walter Center. This role operates 100% onsite and is eligible to work up to 29 hours per week.

Department Specific Responsibilities

  • Creates, updates, and helps manage events in Handshake on behalf of the Walter Center for Career Achievement (WCCA) and its coaching team.
  • Regularly reviews and follows up on career coach appointment type changes and ensure data accuracy within Handshake.
  • Tracks, verifies, and collects attendance records for events, including follow-up for any missing information.
  • Assists in the ongoing management of student job postings, career events, and resource listings in Handshake, helping maintain high-quality and current content.
  • Supports the day-to-day operations of the IUB Crimson Closet, assisting with a variety of tasks that contribute to its smooth and efficient functioning.
  • Monitors and manages relevant shared group and email accounts, ensuring timely routing of inquiries, opportunities, and communications to appropriate staff.
  • Contributes to the administrative management of other student services platforms and tools as needed, supporting the team's operational priorities.
  • Assists with event coordination, purchases, and office orders, and provide general support for related programs and initiatives.
  • Provides on-site or virtual support at events and programs, as needed, to ensure smooth execution and a positive experience for participants

EDUCATION

Required

  • High school diploma or equivalent (such as HSED or GED)

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
