Project Coordinators play a vital role in ensuring internal systems reflect real-time project status, enabling Project Managers to focus on high-level execution. Job Duties & Responsibilities

- Support document drafting and flag any missing scope elements; file contracts and logs
- Format and update control estimates under PM guidance
- Log RFIs, submittals, and change orders; track response deadlines
- Maintain project folders, confirm file naming, and support version tracking
- File and track inspections and permits; update Smartsheet or shared logs
- Support project procurement team by submitting timely purchase requests and communicating to procurement team when projects are close to requiring procurement support
- Enter invoice info or backup documents; review invoice drafts for basic errors
- Prep meeting agendas and recap notes for weekly construction meetings
- Remind team of outstanding tasks and due dates; update Smartsheet task lists
- Schedule OAC meetings; send calendar invites and assist with recap notes
- Input basic progress data into reports or dashboards at PM direction
- Log field issues raised by CM and flag to PM if unresolved
- Track contact lists and support communication with subcontractors at discretion of the PM
- Flag missing time entries or inaccurate job codes for correction and report to PM weekly
- Help enter budget changes in Smartsheet or Jonas under supervision
- Audit template folders to ensure they match current project standards and current company marketing branding
- Confirm receipt of certs from vendors and input into shared trackers
- Assemble each project file packets and reports for project closeout reviews
- Update inventory spreadsheets and follow up on missing entries
- Model and reinforce MYNT’s culture, policies, and ethical standards
- Track and file all field reported documentation include safety reports
- Provide administrative support in meeting compliance standards related to labor reporting and funding requirements
- Respond to all external communications within a timely manner
- Handle confidential data professionally
- Review project cash flow analysis reports
- Coordinate fleet and equipment repair and maintenance

- Coachable: Ability to be coached and mentored.
- Education:
- High School or GED. Some college preferred.
- Experience:
- 3-5 years of experience in a support role
- Experience with PDF editor, Google Docs and Sheets (or Word and Excel), and a general computing background
