Job Description

This position is responsible for coordinating and providing administrative/clerical support to the assigned division/section. The role is responsible for assisting with day-to-day functions of the assigned area and for performing a variety of administrative support tasks, including communicating with internal county staff.

Work is performed under the general supervision of assigned supervisor and is reviewed through reports and logs for accuracy and achievement of desired results.

Representative Duties /Assignments

  • Performs various complex administrative and confidential duties supporting the Bureau Administrator.
  • Composes, proofreads, and edits bureau correspondence, documents, memos, spreadsheets, minutes, logs, and reports for final approval or signature of the Bureau Administrator.
  • Provides information on county policies and procedures to county employees and citizens. Conducts research, data collection, and analysis of information for use in reports, presentations, and meetings.
  • Schedules, coordinates, and prepares meetings and agendas; collects and provides support materials, coordinates staff reports, and prepares consolidation of reports for use by appropriate staff, consultants, and other interested parties.
  • Maintains data used in software applications, creates management reports, and reviews information for compliance with County policy and procedures
  • Assist the Fire Records Section with receiving, logging, and tracking public records requests submitted to OCFRD.
  • Reviews confidential administrative investigations, fire incidents, and EMS transport reports for completeness, accuracy, and applicability for release.
  • Redacts sensitive or exempt information in compliance with Florida Statutes and HIPAA.
  • Responds to subpoenas, court orders, and notarized record requests in accordance with legal and department protocols.
  • Collaborates with legal counsel, risk management, and other County departments as needed.
  • Performs other administrative and clerical duties as assigned.


Minimum Qualifications

  • Graduation from high school or equivalent and four years of experience in secretarial or administrative experience or equivalent combination of relevant education and experience


Preferences

  • Familiarity with Professional Standards, Internal Affairs, or the legal field.
  • Familiarity with HIPAA regulations.
  • PC experience with word processing, spreadsheet, and presentation software

Pay Grade: 013 - From $21.51 to $27.96
