Summary
Under the general supervision of the Director of Pediatric Business Affairs, the Administrative Manager provides comprehensive administrative oversight and operational support to an assigned individual(s) and/or division(s). This role also directly manages the department’s administrative assistant team, ensuring consistent practices and high-quality support across the department.
The Administrative Manager serves as a key liaison between administrative staff and departmental leadership, collaborating with internal departments and other operational units to ensure cohesive and efficient administrative operations.

Responsibilities

Administrative Support
Provide direct administrative support to an assigned individual(s) and/or division(s), including calendar management, meeting coordination, and document preparation.
Assist in preparing complex reports, presentations, and analyses for departmental leadership.
Team Leadership
Supervise up to 20 administrative assistants, including hiring, onboarding, training, performance evaluations, and corrective actions.
Coordinate and monitor workflow across administrative staff to ensure consistency, efficiency, and alignment with departmental goals.
Review and adjust work schedules to ensure adequate coverage during planned and unplanned absences.
Promote and support professional development opportunities for administrative staff, including training, workshops, and continuing education.
Operations & Systems
Develop and maintain administrative systems for filing, recordkeeping, and confidential data management (e.g., payroll, budget, personnel).
Propose and implement improvements to work procedures to enhance operational effectiveness.
Ensure policies and procedures are clearly communicated and consistently followed.
Support budget tracking and expense reconciliation; identify areas of concern and recommend solutions.
Maintain quality assurance, safety, environmental, and infection control standards in accordance with system policies.
Performance & Metrics
Establish and monitor key performance indicators (KPIs) related to administrative efficiency, service quality, and staff engagement.
Use data-driven insights to identify opportunities for improvement and report outcomes to departmental leadership.
Other Duties
Perform other related duties as assigned.
Management Responsibilities
Interview and recommend candidates for hire; complete performance appraisals.
Recommend and implement corrective actions, including termination when appropriate.
Propose salary adjustments and divisional FTE changes as needed.
Ensure staff are properly oriented and receive ongoing coaching and feedback.
Maintain and revise administrative systems and procedures to support departmental operations.
Minimum Qualifications
Education
Bachelor’s degree in Business Administration, Healthcare Administration, or a related field preferred. Equivalent experience may be considered.
Experience
Minimum of five years of progressively responsible administrative experience, including supervisory or management responsibilities.
Skills
Strong proficiency in PC-based word processing, spreadsheet, and presentation software.
Excellent organizational, communication, and interpersonal skills.
Work Environment & Physical Requirements
Work is performed in a typical office setting, requiring extended periods of sitting, standing, and walking.

Direct supervision of up to 20 administrative employees, including scheduling, orientation, training, and performance management.
