Job Overview

Under the general guidance and direction of supervising attorneys and staff, performs legal work related to the prosecution of criminal cases.

Essential Functions

Gathers and electronically processes discovery information utilizing a variety of computer programs such as Justware, Sharefile, Word, Excel, Adobe, Outlook, and many others.

May generate a variety of legal correspondence, documents or reports within the case management system requiring judgment as to accuracy and completeness; follows paper work and cases through to completion. Will obtain and upload information into different systems. Will process information, perform redactions and arrange electronic delivery of information from different system to various parties.

Answers telephones and assists individuals entering the office; responds to basic procedural questions. Reviews and makes correct determinations regarding the handling of incoming mail. Prepares introductory letters, Victim Impact Statements, and information for victims and mails or emails those items to them. Provides updated information to witnesses about the court process. May schedule appointments for Victim/Witness Coordinators and Attorneys. May attend meetings if necessary. Collect and organize documentation received from victims and files the information in the appropriate system.

Contacts law enforcement agencies, court personnel, witnesses, attorneys, etc. to request information and follow up on receipt of the information.

Process discovery for cases, request and obtain information needed for cases. Maintains case records in our case management systems in accordance with office policies and procedures.

Operates a motor vehicle in a safe manner and in compliance with all Utah laws and regulations.

Education/Experience

Education: Graduation from high school or equivalent and one (1) year of college level course work in areas related to secretarial duties; OR

Experience: Graduate from high school or equivalent and one (1) year of progressively increasing responsible experience as a Legal Secretary.

Knowledge, Skills, And Abilities (ksa)

Knowledge: Thorough knowledge of modern office practices and procedures, grammar, spelling, and punctuation. Working knowledge of legal terminology and procedures, court systems and documents, as well as the ability to advise the public as needed regarding basic legal issues and court processes. Knowledge of the Bureau of Criminal Identification and their systems also helpful. Preference will be given to applicants with clerical work experience.

Skills: Skilled in typing at 40 wpm (net), taking and transcribing dictation as required by the position, operating modern office equipment including (but not limited to) a multi-line telephone and fax machine, scanner, copier, operating computer equipment and applicable software. This position may require the driving of a motor vehicle. Skill in operating a motor vehicle in a safe manner. Ability to ensure motor vehicle is operating in a safe manner. Knowledge of Utah motor vehicle rules and regulations.

Abilities: : Ability to draft basic legal documents; typing at 60 wpm (net), operating modern office equipment, including (but not limited to) a multi-line telephone, a computer, a copy or scanning machine, a fax machine, use of office equipment. Ability to use personal computer, including word processing and case management software. Ability to accurately input data into a computer for case record management. Ability to use other communications and office equipment. Must have ability to read sometimes complex material, to identify protected information, and use appropriate equipment to redact protected information prior to disclosure.

Ability to exercise initiative and sound judgment and to react resourcefully under varying conditions, maintain accurate records and strict confidentiality of information and records, follow written and oral instructions, communicate effectively (orally and in writing), establish and maintain effective working relationships with supervisors, other employees, other agencies and the general public.

Must be able to interact with sometimes emotional or angry people to diffuse the situation and impart the appropriate information to them.

Must be able to complete any specialized training in legal or victim services as deemed necessary by the Victim/Witness Supervisor, Office Manager, Chief Criminal Deputy and/or County Attorney.

Special Qualifications

Due to the nature of this position, the successful candidate will be required to complete a pre-employment background check prior to starting the position and must meet and continuously maintain the requirements of the Bureau of Criminal Identification (BCI).

Must have a valid Utah Driver's License. Employees driving a personal vehicle while on county business must maintain the minimum vehicle liability insurance as specified in the Utah Code.

This position is part of a career ladder series with potential advancement to Legal Secretary II. Advancement is determined by meeting the minimum requirements for the position of Legal Secretary II, by demonstrating history of good performance reviews, and if recommended by his or her supervisor and approved by the County Attorney.
