Summary
The Coordinator of Scholar Selection & Experience plays a pivotal role in supporting the Coca-Cola Scholars Foundation’s scholarship administration and Scholar lifecycle programs. This position coordinates scholarship application workflows, manages communications with applicants and stakeholders, and ensures seamless database management for reporting. The Coordinator of Scholar Selection & Experience works collaboratively with internal teams to manage CRM & applicant databases, maintaining accurate records and supporting data-driven decision-making.
Additionally, this role coordinates logistics for key programs and events and supports the execution of Enrichment and Engagement related initiatives for the Scholar community. This individual is integral to the Foundation's mission to recognize and empower future leaders. The coordinator also provides strategic administrative support to the Senior Manager of Alumni & Community Engagement, ensuring the effective operation of the Alumni Board by serving as Board Secretary, managing board communications, and coordinating key governance activities.

Responsibilities
The Coordinator will provide administrative and logistical support in various stages of the Scholar life cycle, including those outlined below.
IN RELATION TO SCHOLARSHIP ADMINISTRATION SUPPORT
- Coordinate the annual update, testing, launch, and monitoring of all selection related portals to ensure proper functionality and delivery of accurate and timely communications.
- Coordinate daily applicant submissions and communications during the application cycle.
- Generate annual prospective applicant lists based on defined applicant criteria from available research tools (eg. CollegeBoard Search).
- Collaborate with the Senior Manager of Communications to execute a selections communications plan including but not limited to application promotion, website updates and applicant/key stakeholder notifications at each stage of the process.
- Maintain accurate, up-to-date Scholar and applicant profiles in RENXT and Submittable systems, ensuring data integrity.
- Manage the onboarding portal for Scholars Weekend and the agreement portal for newly selected Scholars, ensuring accurate submission of required information.
- Collaborate with the Finance & Grants Coordinator to update renewal portals annually, ensuring Scholar profiles are accurately located in the renewal system prior to each cycle.
IN RELATION TO SCHOLAR ENRICHMENT PROGRAMS SUPPORT
- Collaborate closely with the Senior Director of Scholarships and Enrichment Programs to support overall Scholar enrichment strategies and initiatives, including but not limited to: Coke Scholar Pro events, Coke Scholars Coaching Program, and Leadership Development Institute (LDI).
IN RELATION TO SCHOLAR ENGAGEMENT PROGRAMS SUPPORT
- Collaborate closely with the Sr. Manager of Alumni & Community Engagement to support overall Scholar engagement strategies and initiatives, including but not limited to: Sandy Williams Alumni Legacy Scholar (SWALS), Slices for Scholars Program, Grad Cords, and Educator of Distinction (EOD) Program.
- Serve as Secretary of the Alumni Board. These duties include but are not limited to: Maintaining accurate records of board meetings (including taking and distributing meeting minutes), coordinating, preparing, and distributing meeting agendas and supporting materials, and maintaining board documents (e.g., bylaws, policies, member roster).
Success Metrics
The ideal Coordinator can demonstrate their contributions and effectiveness by achieving the following:
Scholarship Program Efficiency: Ensure 100% on-time completion of scholarship application cycles, including updates to portals, communications, and file movements within Submittable. Respond to scholarship-related inquiries within 48 hours, ensuring timely and accurate communication with Scholars, applicants and stakeholders.
Database Accuracy and Management: Maintain a 95% accuracy rate for scholarship data in CRM and applicant databases, including Scholar profiles, application details, and reporting. Successfully import and update 100% of new Scholars in applicable databases and platforms in a timely and accurate manner.
Enrichment and Engagement Program Support: Execute coordination and support for all enrichment and engagement programs ensuring the delivery of seamless stakeholder experiences based on positive participant satisfaction scores.

- Highly organized and detail-oriented professional with a proven ability to manage multiple cross-functional projects, prioritize effectively, and ensure accurate coordination of programs, events, and data systems.
- Expertise in managing database platforms (e.g. Submittable, RENXT, and Blackbaud) with a focus on data integrity and reporting.
- Proficiency in leveraging technology to streamline processes, track progress, and improve program outcomes.
- Strong written and verbal communication skills, including the ability to interact professionally with Scholars, partners, and stakeholders.
