Executive Assistant, Sales & Growth Teams

Location: Santa Barbara, CA | This role will be hybrid (3 days/week in office), working closely in the Santa Barbara office with the Executive Leadership Team.

Reports to: Chief Revenue Officer

Come build with us. In this role, you will be a key player in our Revenue Operations and Growth organizations, helping our company continue to scale. You’ll keep the team organized, focused on growth, and have meaningful interactions with customers.

We’re hiring an Executive Assistant for our Revenue Operations and Growth teams. You’ll work with three C-level executives, keeping their calendars accurate and on point, scheduling meetings, taking care of expense reports, and booking travel. You’ll be a sounding board for ideas and trusted to make suggestions on how the team can get the most out of meetings and sales trips and which areas they need to turn their attention to. You’ll understand our customers, sales process, and the steps to achieving product market fit.

What you’ll be doing:

  • Thought partner and project manager - learning our sales process and growth plan and working with leaders towards their goals and areas of growth
  • Travel booking for heavy travel schedules, mostly domestic but expanding into international
  • Calendar management and meeting scheduling; preparing agendas and follow up tasks from meetings
  • Document and review customer interactions in Hubspot
  • Setting up catering and lunch orders for working meetings, making restaurant reservations
  • Expense reports, approvals, and budget management
  • Coordinating customer office visits - working with Office Management to ensure a great experience
  • Plan team offsites and events (~three annually per team)
  • Coordinating team and customer gifts and holiday cards and gifts
  • Occasional personal assistant tasks (scheduling doctor appointments, gym sessions, etc).

What we're looking for:

  • 5+ Years of assisting a C-level executive
  • You anticipate needs and know what someone wants before they have time to ask for it
  • Fast-paced and able jump into high-priority tasks quickly
  • You prioritize quickly and can balance requests from multiple people, focus areas, and on different timelines
  • Google Workspace expert - you know all the calendar and email shortcuts
  • Proactively taking care of tasks before being asked. Creating systems and streamlining repeating tasks
  • You make decisions independently and communicate those decisions clearly
  • You’re excited by problem solving and no challenge is too small or large to tackle
  • Flexibility to work outside standard business hours, including nights or weekends, as needed.
  • Professionalism and confidentiality; you know how to work with a variety of stakeholders

  • Hubspot CRM experience
  • You’ve supported a new department in a growing startup

Compensation:

The estimated base salary range for this role is $115,000-120,000. In addition to base pay, full-time team members are eligible for a company-wide bonus and equity options - giving you the opportunity to grow alongside the company and share in the long-term success we’re building together.

Final compensation is determined by several factors including prior experience, skills, and alignment with the role. The range above is intended to provide a helpful benchmark, though it may be updated as needed.
