  • Required: 1-2 years of proven experience in a customer service or similar support role.
  • The Back Office Support Agent serves as the "engine room" of our supply chain operations.
  • This role is responsible for the end-to-end integrity of the order lifecycle from initial entry and inventory synchronization to outbound freight booking and carrier auditing.
  • You will act as the primary liaison between our sales data, our 3PL partners, and our transportation vendors to ensure every order is processed accurately and delivered on time.

Your Mission Will Be To

  • Daily Inventory Fulfillment
    • Inventory Oversight: Access 3PL systems (including Amazon Seller Central) to download inventory reports and update Ops Dash Inventory Files.
    • Critical Escalations: Review aging DTC and B2B orders; escalate "stuck" or aged orders to 3PLs for immediate resolution.
    • Order Reassignment: Provide order files to 3PL Customer Service teams for the reassignment of aging orders.
    • Issue Flagging: Identify and flag inventory or fulfillment issues for cross-functional team awareness.
  • Order Lifecycle and Transaction Management
    • Order Entry: Enter new orders into OMS systems and the Sales Tracker (Google Sheets).
    • Non-DTC Processing: Handle manual order entry and invoicing for all non-DTC orders, including sample requests.
    • Invoicing: Review the previous day’s shipped orders in Cin7 to ensure all invoices were generated and sent.
    • System Integrity: Escalate orders that are not systematically closed to the respective 3PLs to ensure data sync.
    • LTL Management: Manage LTL (Less Than Truckload) freight booking directly on carrier and broker websites.
    • Communication Hub: Manage all customer, carrier, and warehouse communications related to outbound shipping via the Orders Inbox.
    • Profile Maintenance: Maintain CRM data and detailed Customer Delivery Profiles to ensure delivery accuracy.
    • KPI Tracking: Track and populate vendor KPIs and monitor operational compliance.
    • 3PL & Carrier Auditing: Audit 3PL and carrier performance to report variances and actively collect credits for service failures.
    • Relationship Management: Maintain day-to-day relationships with 3PLs and transportation vendors to provide continuous operational support.
    • Ad Hoc Analysis: Perform data analysis as needed to support the broader operations team.

  • Advanced Microsoft Excel: Expert use of functions (VLOOKUP, Pivot Tables, IF statements) for data analysis and reporting.
  • G-Suite Mastery: Collaborative workflow management using Google Sheets, Docs, and Drive and Slack.
  • Digital Agility: Highly tech-savvy with the ability to quickly learn and navigate new ERP or Supply Chain Management (SCM) software.
  • Supply Chain Fluency: Comprehensive understanding of end-to-end supply chain flows and inter-departmental dependencies.
  • Quality Control & Order Auditing: High-level precision in reviewing orders, verifying pricing accuracy, and ensuring data integrity.
  • Process Analytical Thinking: Ability to interpret complex data sets to identify trends or operational bottlenecks.
  • Professional Correspondence: Excellent written English for clear, concise internal and external communication.
  • Functional Verbal Communication: Effective spoken English with a focus on clarity and collaborative problem-solving.
  • Dynamic Task Management: Proven ability to manage high-sensitivity tasks and multitask effectively under tight deadlines.
  • Nice to have Experience with Cin7 software and Amazon Seller Central, B2B support experience
