Complete Care Management is seeking a highly organized, proactive Executive Assistant to support our Chief Operating Officer (COO) at our Toms River, NJ corporate office. This is an on-site, full-time role supporting a fast-paced, multi-state healthcare organization.

The Executive Assistant will act as the right hand to the COO—anticipating needs, managing priorities, coordinating large volumes of communication, and ensuring smooth daily operations at the executive level. This role requires exceptional professionalism, confidentiality, and the ability to thrive in a dynamic environment.

Key Responsibilities
- Serve as the primary point of contact for the COO and manage day-to-day priorities.
- Maintain complex calendars, schedule meetings, and coordinate site visits across multiple states.
- Arrange travel, prepare itineraries, and handle logistics for internal and external engagements.
- Prepare meeting agendas, talking points, presentations, and follow-up summaries.
- Take and distribute detailed meeting minutes with clear action items.
- Track organizational initiatives and ensure deadlines are met.
- Maintain organized filing systems and assist with data collection and research.
- Partner and communicate with executives, regional leaders, administrators, and department heads.
- Support cross-departmental and strategic projects as needed.
- Uphold strict confidentiality regarding all sensitive information.
- 3–5 years of Executive Assistant or senior administrative experience; healthcare experience strongly preferred.
- High proficiency in Microsoft Office Suite and Power BI.
- Associate or bachelor’s degree preferred.
- Strong judgment, discretion, and ability to make independent decisions.
- Exceptional organizational skills and attention to detail.
- Ability to stay calm, professional, and focused in a fast-paced environment.
- Anticipates needs and thinks several steps ahead.
- Calm, composed, and solutions-oriented under pressure.
- Strong written and verbal communication skills.
- Positive attitude and strong teamwork mentality.
- Ability to work efficiently and maintain professionalism at all times.
