Education: High School diploma or equivalent work experience.

Type: Full-time; Contract

Schedule: Monday - Friday, 8:00am to 5:00pm (Ability to work OT as needed)

Greene Resources is seeking a Project Coordinator to join a growing and dynamic team! The Project Coordinator is responsible for supporting broker clients in the global marketplace by facilitating shareholder notifications of general meetings, granting shareholders voting rights, and submitting vote instructions through appropriate channels.

Job Description:

  • Learn, recognize, and apply global regulatory requirements to daily work and responsibilities.
  • Read and re-read all materials and provide quality assurance.
  • Set up new jobs in the system, going through internal or third-party software to pull data and assist with data entry.
  • Review agendas and proxy cards, enter proposals into the system, and create invoices.
  • Understand and enforce market requirements across different countries, including identifying record dates and voting deadlines.
  • Create or verify global events, set up agendas, billing information, and review materials.
  • Identify and escalate potential issues.
  • Meet daily deadlines to ensure regulatory compliance.
  • Interact with peers, both internal and external, and function as part of a team.
  • Create, verify, and authorize tabulation voting reports and vote instruction messages.

Position Requirements:

  • Microsoft Office Suite experience, including proficiency in Excel.
  • Experience with Teams is a plus.
  • Ability to work on multiple projects under tight deadlines.
  • Strong critical thinking and research skills.
  • Flexibility to adapt to changing business needs.
  • Attention to detail and strong visual inspection skills.
  • Effective communication with internal and external stakeholders.
  • Strong organizational and prioritization abilities.
