The Executive Assistant manages administrative workflows, handles day-to-day coordination for executives, organizes corporate priorities, and ensures smooth communication across departments. This position requires exceptional attention to detail, strong follow-through, and the ability to manage multiple priorities in a quickly growing boutique fitness brand.

Key Responsibilities

Executive Support

Manage executive calendars, scheduling, meeting coordination, and travel logistics

Prepare agendas, take meeting notes, track action items, and follow up on deliverables

Handle confidential information with discretion

Assist with drafting emails, presentations, and documents

Act as the primary point of contact for internal and external communication on behalf of leadership

Administrative Operations

Organize and maintain corporate documents, SOPs, and files

Assist with HR-related tasks including onboarding documents, background checks, and compliance forms

Support expense reporting, invoice tracking, and basic bookkeeping tasks

Manage office supplies, vendor relationships, and equipment organization

Project Coordination

Help track timelines and deliverables for corporate projects and studio initiatives

Assist in preparing materials for franchise support, sales trainings, leadership meetings, and presentations

Maintain dashboards and trackers for corporate priorities and ongoing initiatives

Support rollout of operational systems and updates across the STRIDE network

Communication and Cross-Department Support

Facilitate communication between leadership, studios, franchise partners, and support teams

Help organize internal newsletters, announcements, and updates

Coordinate logistics for team meetings, workshops, trainings, and events

Assist with collecting information, gathering reports, and preparing summaries for leadership

Skills And Qualities

Comfortable juggling multiple priorities in a fast-paced setting

Tech savvy with Google Workspace, project management tools, and CRM systems
