We are seeking a detail-oriented, trustworthy Bookkeeper (AR-AP Specialist) to take ownership of our day-to-day accounting operations. This role will handle accounts payable and receivable, job costing, payroll support, 401(k) contributions, and collections follow-up, helping ensure that our strong project performance is matched by clean, accurate financials. This position is ideal for someone who loves numbers, systems, and processes, and who isn't afraid to politely but firmly follow up on late payments.

We are seeking a detail-oriented, trustworthy Bookkeeper (AR-AP Specialist) to take ownership of our day-to-day accounting operations. This role will handle accounts payable and receivable, job costing, payroll support, 401(k) contributions, and collections follow-up, helping ensure that our strong project performance is matched by clean, accurate financials. This position is ideal for someone who loves numbers, systems, and processes, and who isn't afraid to politely but firmly follow up on late payments.
Responsibilities
- Enter and track vendor invoices and bills.
- Match bills to jobs and purchase orders when applicable.
- Generate and send customer invoices in a timely manner.
- Allocate expenses to the correct jobs and cost codes.
- Help ensure that job costs are accurate and current throughout the life of the project.
- Prepare basic financial and job cost reports for the owner and leadership team.
- Monitor aging reports and follow up on past-due invoices.
- Professionally and persistently contact customers regarding overdue payments.
- Coordinate with the owner on collection strategies when needed.
- Assist with processing payroll information and ensuring accuracy.
- Help administer 401(k) deductions and contributions.
- Work within QuickBooks and our Airtable-based internal systems.
- Help streamline and improve accounting workflows as we continue to grow and integrate our software tools.
- 3 or more years of bookkeeping/accounting experience, preferably in a small business or construction environment.
- Solid understanding of AP/AR, job costing, and basic accounting principles.
- Experience with QuickBooks and spreadsheets (Excel or Google Sheets).
- High attention to detail and accuracy, and comfortable working with a high volume of transactions.
- Strong follow-through and comfort making polite, professional collection calls/emails.
- Organized, self-motivated, and able to work independently once trained.
- Strong integrity and discretion when handling financial information.
- Full-time, W-2 position
- Competitive salary in the $50,000 to $65,000+ range, depending on experience.
