Position Summary

The Appointee Coordinator – Volunteers performs diverse administrative and clerical support duties and assists in coordinating workloads of office staff, and the placement/calls for long and short-term interdivision volunteers between world divisions. Assists in designated administrative details using high levels of tact, friendliness, initiative and sound judgment and advises department regarding challenges of growth, using strongly developed interpersonal skills plus proven organization skills.

Essential Job Functions

  • Coordinates workflow of the office procedures dealing with processing of volunteer applications for interdivision service, provides administrative support to supervisor, updates calendar, prepares agendas for various committees, reports, presentations and special projects, etc., as requested.
  • Process ISE calls for assigned divisions/entities (SSD, MENAUM, AIIAS) per established protocols.
  • Enters data into ISE database on a regular basis.
  • Liaises with Loma Linda University (LLU) entities (GO, DA, AHI, AHISS) in processing of medical volunteers worldwide.
  • Assists with the tracking, coordination, communication, planning, and organization of meetings and/or travel for the department leadership.
  • Processes incoming correspondence from the general public and all levels of denominational personnel, including regular mail, email, telephone inquiries, and personal visits. Responds on supervisors’ behalf, at times using supervisors’ electronic signature as authorized.
  • Assists supervisor and/or leads out in preparing reports, special projects, etc., as requested.
  • Schedules and maintains daily calendar of supervisors; makes travel and lodging arrangements.
  • Serves as primary contact (in consultation with supervisor) for all division AVS coordinators.
  • Assists in organizing AVS Advisory, including preparing of materials and participation as requested.
  • Reviews/enforces terms of signed Service Agreements using established AVS Guidelines/Policies.
  • Serves as backup for Assistant Volunteer Coordinator in processing of applications for all other interdivision volunteers, including Extensions and backup for AVS Tech Coordinator.
  • Reconciles Diners Credit Card expenses for supervisor via ExpenseWire.
  • Serves as Recording Secretary for Spring Meeting, Annual Council, Middle East and North Africa Union Mission Oversight Committee (MENAUM OC), and GC Session.
  • Assists with Spring Meeting, Annual Council and GC Session duties as assigned.
  • Performs research and obtains information as requested.
  • Maintains well-organized office, with efficient filing; handling of telephone calls, answering inquiries and provides assistance as necessary; manages large email flow, orders supplies as needed.
  • Must be a member in regular standing of the Seventh-day Adventist Church.
  • Must maintain a regular and reliable attendance schedule.
  • Other duties as assigned.

Qualifications

Education and Experience

  • Bachelor’s (BA/BS) degree required. Relevant successful work experience may be acceptable in lieu of academic requirements.
  • At least three or more years of relevant successful work experience required.
  • Denominational experience and knowledge of church policy/structure required.
  • Knowledge and experience with Adventist Volunteer Service program desired.
  • Overseas experience would be a distinct advantage.

Knowledge Skills & Abilities

  • Well-developed knowledge of principles, policies and beliefs of the GC and the Seventh-day Adventist Church. Knowledge of church structure and organization, including committee procedures, etc.
  • Knowledge and skill in appropriate methods of dealing with human behavior in various circumstances.
  • Advanced command of English language skills including proficiency in verbal and written forms.
  • Must be able to perform duties with a high degree of accuracy and attention to details.
  • Well-developed computer skills necessary for database and spreadsheet work as well as communication through email and correspondence. Exhibits patience and works with international coordinators.
  • Well-developed reading comprehension, writing and editing
  • Must exhibit extensive initiative and be adaptable and able to evaluate priorities, handle multiple tasks, and work under weekly/daily deadlines.
  • Decision-making ability and interpersonal skills essential due to high potential for loss to church of both goodwill and finances as a result of poor decision-making.
  • Requires a high level of tact, friendliness, and other aspects of strongly developed communication, interpersonal skills; plus proven organization skills.
