Job Description Summary
This position is under the direction of the Registrar and is responsible for performing academic, continuing education and contract education records functions, state reporting data entry, end-of-term processes, and other related duties. Works with academic departments, deans, chairs, and advisors to provide student records services and support..
Minimum Qualifications
Associate’s degree AND three (3) years related work experience to include computer based data entry and customer service.
Required Job Knowledge, Skills, Abilities
Knowledge of general office policies and procedures.
Ability to operate general office equipment including document scanners.
Proficiency in computer based data entry.
Ability to communicate effectively, both verbally and in writing.
Ability to relate successfully with students and staff of various cultural, social, or educational backgrounds.
Ability to use judgment, discretion, and decision making skills in dealing with confidential and sensitive issues.
Ability to problem solve by questioning, organizing, researching, analyzing, processing, and interpreting information.
Ability to work independently and as a team member; ability to handle multiple tasks and responsibilities; and ability to learn and adhere to College policies and procedures.

Preferred Qualifications
Three (3) years experience in post-secondary education with student records, credit or continuing education courses, computer based data entry, and customer service.
Experience evaluating and articulating transfer courses/credits.
Experience with international students/SEVIS Experience with Texas CBM reporting.

Maintain electronic student files by entering updates and/or deleting records as required; and maintain integrity of student data.
Maintain current knowledge of federal and internal regulations such as FERPA.
Verify enrollment and residency status following established guidelines.
Job Duty
Utilize Colleague system to process student record updates/changes for academic, continuing education and contract training services.
Perform academic transcript evaluations.
Image and prepare academic transcripts requests (via Parchment).
Job Duty
Maintain current knowledge of College activities and programs; assist with academic records processes such as process grade changes, change of majors, course drops/withdrawals, provide technical support for online registration and related registration events.
Review and process forms necessary to process changes such as drops, withdrawals, grade changes, residency changes and personal information changes.
Job Duty
Assist department chairs/faculty with enrollment in selective admissions programs, student record questions, and troubleshooting registration problems.
Job Duty
Completion of final graduation audits.
Preparation of correspondence for eligible and ineligible graduation candidates.
Assist with graduation ceremony.
Job Duty
Work day, evening and weekend hours as needed to support registration initiatives and special events throughout all College campuses and centers.
Job Duty
Additional related duties may be assigned.

Provide excellent customer service to students, faculty, and staff; provide students, faculty, and staff accurate information and assist in rectifying issues/problems.
