Administrative Assistant at Geo-Technology Associates Inc.
GTA is seeking a proactive, organized, and detail-oriented Administrative Coordinator / Office Administrator to help keep our Charlotte office running smoothly. This role serves as a key resource for office operations, staff support, project coordination, and communication between our local office and corporate teams. This is an excellent opportunity for a professional who enjoys wearing multiple hats, improving processes and contributing to a collaborative and growing office environment.
Key Responsibilities
- Manage daily office operations, supplies, vendors, and facilities needs
- Coordinate meetings, office events, and team activities
- Provide administrative support to office leadership and department managers
- Assist with new employee onboarding and office coordination
- Set up new projects and support billing and project administration activities
- Serve as the primary point of contact for staff, clients, vendors, and corporate departments
- Partner with HR, Accounting, Billing, and Marketing to support office needs
- Identify opportunities to improve workflows, efficiency, and office processes
Requirements
Required
- 3+ years of administrative, office management, or office coordination experience
- Strong Microsoft Office skills (Excel, Word, Outlook)
- Excellent organizational, multitasking, and time management abilities
- Strong communication and interpersonal skills
- Ability to work independently and manage competing priorities
Preferred
- Experience in engineering, construction, architecture, or professional services environments
- Experience with project setup, billing support, CRM, or accounting systems
- Experience supporting multiple managers or a mid-sized office
