People & Culture Assistant / Executive Assistant to the Chief People Officer

Job Summary

Essen Health Care is seeking a highly organized, proactive, and service-oriented People & Culture Assistant / Executive Assistant to the Chief People Officer to support both the day-to-day operations of the People & Culture department and provide executive-level administrative support to the Chief People Officer.

This role serves as a key liaison between leadership, employees, candidates, and external partners while ensuring the smooth execution of HR initiatives, projects, communications, and executive priorities. The ideal candidate thrives in a fast-paced healthcare environment, maintains strict confidentiality, and demonstrates exceptional attention to detail, professionalism, and follow-through.

Executive Support to the Chief People Officer

  • Manage the CPO's calendar, meetings, and scheduling priorities.
  • Coordinate leadership meetings, prepare agendas, and distribute meeting materials.
  • Take meeting notes and track action items to completion.
  • Assist with preparing presentations, reports, and executive communications.
  • Manage travel arrangements, expense reports, and executive administrative tasks.
  • Prioritize incoming requests and communications on behalf of the CPO.
  • Serve as a liaison between the CPO and internal stakeholders, leaders, and external partners.
  • Support special projects and strategic initiatives as assigned.

People & Culture Support

  • Assist with employee onboarding, orientation coordination, and new hire communications.
  • Maintain personnel files and HR documentation in compliance with company policies and regulations.
  • Support employee engagement, recognition, and culture-building initiatives.
  • Coordinate employee events, training sessions, leadership meetings, and department activities.
  • Assist with recruitment coordination, interview scheduling, and candidate communications.
  • Prepare employment letters, HR forms, reports, and employee communications.
  • Track onboarding, compliance, training, and credentialing-related documentation.
  • Support performance review cycles and employee development programs.
  • Assist with maintaining HR dashboards, reports, and workforce metrics.
  • Provide administrative support for benefits enrollment, employee relations matters, and HR projects.

Project & Administrative Management

  • Manage multiple projects simultaneously while meeting deadlines.
  • Create and maintain tracking systems, spreadsheets, and project documentation.
  • Coordinate cross-functional initiatives with Operations, Finance, Credentialing, Compliance, and Clinical Leadership.
  • Maintain confidentiality of sensitive employee, organizational, and executive information.
  • Identify opportunities to improve administrative and operational processes.

Qualifications

Required

  • Associate's degree required; Bachelor's degree preferred.
  • 2+ years of administrative, executive assistant, HR coordinator, or related experience.
  • Strong proficiency in Microsoft Office Suite, particularly Outlook, Excel, PowerPoint, and Word.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Ability to handle confidential information with discretion and professionalism.
  • Excellent attention to detail and follow-through.
  • Ability to manage competing priorities in a fast-paced environment.

Preferred

  • Experience supporting C-suite or senior-level executives.
  • Experience in healthcare, human resources, or talent acquisition.
  • Familiarity with HRIS, ATS, and workforce management systems.
  • Experience coordinating projects across multiple departments.
