JOB SUMMARY

The Marketing Proposal Specialist collaborates with the Marketing team to produce qualifications, proposals, presentations, and other collateral materials directly related to specific client and project pursuits.

Compensation: $85,000 - $110,000 annually

JOB RESPONSIBILITIES

Proposals and Presentations

  • Prepare and produce responses to request for qualifications (RFQ/RFPs), statement of qualifications (SOQs), AIA A305 forms, and pre-qual questionnaires
  • Lead all phases of the proposal process (kickoff, compliance matrix, outline, writing, review, production, and submission) for public and private sector pursuits
  • Analyze RFP/RFQ documents to identify evaluation criteria, scope requirements, and strategic win themes
  • Oversee content creation, design, and data gathering
  • Assemble, edit, and produce qualifications and proposals
  • Create presentation materials and coordinate deliverables
  • Help lead the process of developing marketing and sales documents which are critical for securing future work
  • Ensure consistent brand/visual identity and messaging consistent with brand guidelines and best practices

Content Library & Knowledge Management

  • Support maintenance of a centralized library of resumes, project sheets, boilerplate narratives, and firm qualifications
  • Help track submitted proposals, shortlist rates, and win/loss data to inform continuous improvement
  • Gather and document debrief feedback to refine future pursuit strategies

Collaboration & Cross-Functional Coordination

  • Serve as the liaison between marketing, technical staff, principals, subconsultants, and graphic designers throughout the pursuit lifecycle
  • Partner with the business development team on pipeline tracking and client relationship strategies
  • Support the development of other marketing collateral as bandwidth allows

QUALIFICATIONS

  • Bachelor’s degree in Marketing, Communications, English, Journalism, Graphic Design, or a related field
  • 3-5 years of proposal coordination or writing experience, preferably within an AEC or professional services firm
  • Demonstrated track record of managing multiple concurrent proposals under tight deadlines
  • Excellent writing and editing skills, with the ability to write specific industry-focused content
  • Ability to work in autonomous and independent manner to produce polished and professional products
  • Skilled in building effective relationships with frontline, client-facing professionals and fellow support staff colleagues
  • Demonstrable initiative, creativity, flexibility, and persistence.
  • Excellent organizational skills
  • Thrives in a fast-paced, team-oriented, collaborative, and deadline-driven work environment.
  • Familiarity with principles of graphic design
  • Excellent interpersonal skills, including diplomacy and discretion

Technical Skills

  • Proficiency in Adobe InDesign (required); Illustrator and Photoshop a plus
  • Advanced Microsoft Office skills (Word, PowerPoint, Excel)
  • Experience with various AI tools including Kantiv and ChatGPT preferred
  • Familiarity with public procurement processes (federal, state, municipal, transportation, education) strongly preferred

Duties involve moving materials weighing up to 10 pounds on a regular basis and up to 25 pounds on an occasional basis. Manual dexterity and coordination are required over 50% of the work period while operating equipment such as computer keyboard, mouse, calculator and similar machines.
