Position Overview
The Senior Associate, After-School Programs, is a key member of KIPP NYC's Regional After-School team, responsible for strengthening the operational systems that support high-quality after-school programming across the network.
Reporting to the Senior Director of After-School Programs, this role partners closely with Program Directors, school leaders, Human Resources, and regional teams to oversee onboarding, staffing operations, compliance, data management, audits, and department-wide operational systems. The Senior Associate plays a critical role in ensuring after-school programs operate efficiently, remain compliant with regulatory requirements, and are equipped with the systems and resources needed to deliver excellent student experiences.
This role requires a highly organized, detail-oriented professional who enjoys building efficient systems, managing complex operational processes, and collaborating across teams to support continuous improvement.
This is a full-time position with a hybrid schedule, requiring a minimum of three in-person days per week based out of our KIPP NYC Midtown Manhattan office. The role also includes travel to KIPP NYC campuses across the Bronx, Brooklyn, and Manhattan. The cadence and frequency of school visits will be determined by your leadership team.
Duties and Responsibilities
Staffing Operations & Onboarding
- Lead regional hiring and onboarding processes for after-school staff in partnership with Program Directors, Human Resources, and regional leadership.
- Monitor candidate onboarding, background checks, clearance status, and required documentation through FAMS, DOE systems, and other applicable platforms.
- Track vacancies, onboarding progress, staffing needs, and required documentation across all after-school sites.
- Maintain accurate staffing rosters and communicate hiring updates, risks, and next steps to Program Directors and regional leadership.
- Identify opportunities to improve onboarding systems and streamline hiring processes.
Compliance & Operational Systems
- Maintain and manage operational systems supporting after-school programming, including FAMS, PETS, DOE reporting systems, and internal KIPP NYC tracking tools.
- Ensure staff, student, and program records remain accurate, confidential, complete, and audit-ready.
- Monitor compliance deadlines and proactively support sites in maintaining readiness for announced and unannounced reviews.
- Support department reporting, reconciliation, documentation, and operational audits.
- Identify recurring compliance trends and recommend improvements that strengthen regional systems and processes.
Site Audits & Program Readiness
- Conduct regular site audits to assess compliance with DOH, DYCD, and KIPP NYC operational standards.
- Partner with Program Directors to address audit findings and implement corrective action plans.
- Maintain regional audit trackers and provide leadership with timely updates on site readiness, compliance trends, and outstanding action items.
- Support schools in preparing for compliance reviews and maintaining operational excellence throughout the year.
Data, Reporting & Continuous Improvement
- Coordinate surveys for students, families, staff, Program Directors, school leaders, and other stakeholders.
- Collect, analyze, and summarize operational and survey data to identify trends, strengths, and opportunities for improvement.
- Develop reports and dashboards that inform department planning, compliance monitoring, family engagement, and program improvement.
- Partner with regional leadership to leverage data in strengthening systems, improving decision-making, and enhancing student experiences.
Department Operations
- Support the day-to-day operations of the Regional After-School Programs team.
- Organize and maintain department resources, templates, operational documents, compliance files, and shared drives.
- Coordinate logistics for regional meetings, trainings, compliance reviews, audits, and special projects.
- Support department initiatives related to operations, recruitment, compliance, program improvement, and data management.
Stakeholder Partnership
- Build strong working relationships with Program Directors, school leaders, Human Resources, and regional teams.
- Serve as a liaison between after-school programs and external agencies, including the Department of Health (DOH), Department of Education (DOE), and Department of Youth and Community Development (DYCD).
- Provide responsive, solutions-oriented support to school-based after-school teams.
- Communicate proactively to ensure timely follow-up and strong collaboration across stakeholders.
On-Site Program Support
- Visit school sites regularly to monitor operational systems, provide support, and ensure consistent implementation of expectations.
- Provide leadership coverage when Program Directors are absent or when additional support is needed.
- Support staff trainings, family engagement events, compliance activities, and regional initiatives.
- Maintain flexibility to work evenings and occasional weekends to support after-school programming and department events.
Qualifications
- Bachelor's degree preferred.
- Minimum of four years of experience working in New York City after-school, expanded learning, or youth development programs.
- Knowledge of the Department of Health (DOH), the Department of Youth and Community Development (DYCD), the Office of Children and Family Services (OCFS), and other regulatory requirements governing after-school programming preferred.
- Experience using FAMS, PETS, DOE reporting systems, or similar operational platforms preferred.
- Demonstrated success managing operational systems, compliance processes, or program administration.
- Strong organizational and project management skills with exceptional attention to detail.
- Ability to manage multiple priorities while producing high-quality work in a fast-paced environment.
- Strong analytical skills with the ability to organize, interpret, and communicate operational data.
- Excellent written, verbal, and interpersonal communication skills.

Compensation and Benefits
KIPP NYC offers a salary ranging from $71,070 - $85,490. Salary ranges at KIPP NYC are standardized based on role level and role function. Individual salaries are determined through a lens of equity, accounting for years of experience relevant to the role and scope of responsibilities, and are benchmarked against others within the same salary band.
