About The Role

We are seeking a tech-savvy Medical Assistant with a strong specialty practice background to join our Partner Success Operations team. As a key operational backbone, you will own workflow documentation, support implementations, sustain post-go-live clinic operations, and coordinate a BPO agent team for your dedicated pod of specialty clinic partners.

Key Responsibilities

• Workflow Documentation & Maintenance: Build and maintain clinic-specific workflow documentation, including intake processes, referral handling, fax routing logic, and staff escalation paths. Keep documentation current and version-controlled, translating messy verbal knowledge into clean process maps.
• Implementation Support: Partner with the Integration team for go-live readiness, coordinate EMR access and staff training, and secure go-live gate sign-off. Act as the clinic-facing point of contact during transition.
• Ongoing Clinic Support: Monitor post-go-live operational health, catch workflow drift, handle AI edge cases, and conduct regular touchpoints with clinic staff. Support account reviews and expansion conversations.
• BPO Coordination: Serve as the primary liaison between clinics and BPO agents, ensuring agents have accurate protocols and scripts. Monitor BPO work quality, flag accuracy issues, and onboard new agents for assigned accounts.

Qualifications

• Minimum 2-3 years of experience as a Medical Assistant or in a similar healthcare support role, preferably in a specialty practice.
• Strong knowledge of front-desk and back-office operations: referral intake, fax management, scheduling, EMR documentation.
• Proficient in EHR systems (NextGen, AthenaOne/Athena Practice, ModMed, or similar preferred).
• Exceptional documentation skills – ability to write down processes for others to follow.
• Comfortable working with AI tools and BPO teams, able to QA outputs.
• Excellent communication, interpersonal skills, and ability to build trust quickly.
• Highly organized, detail-oriented, able to manage multiple accounts simultaneously.
• Self-starter willing to travel to clinic sites across the country.
