Position Overview
The Truck Services Vendor Administration Assistant provides essential administrative and operational support to the Truck Services department. This role is responsible for managing vendor account setup, processing invoices, and resolving vendor-related issues to ensure smooth operations and strong vendor relationships.
This is a high-volume, detail-oriented position that plays a key role in maintaining accurate vendor records, supporting procurement processes, and contributing to overall department efficiency.
Key Responsibilities
- Complete credit applications and establish new vendor accounts in company systems.
- Prepare and submit tax exemption certificates for new and existing vendor accounts.
- Review, verify, and process vendor invoices for accuracy, proper coding, and timely payment.
- Research and resolve vendor account issues, discrepancies, and payment problems.
- Maintain accurate and up-to-date vendor records, contact information, and documentation.
- Respond promptly to vendor inquiries and internal requests regarding account status.
- Assist with vendor onboarding, contract tracking, and compliance requirements.
- Support the Truck Services Manager with additional administrative tasks as needed.
- Ensure all vendor-related processes comply with company policies and procedures.
Requirements
Qualifications & Requirements
Experience
- 2+ years of experience in vendor administration, accounts payable, procurement, or administrative support.
- Experience working with vendor accounts, credit applications, and invoice processing preferred.
- Experience in the petroleum, trucking, or convenience store industry is a plus.
Skills & Competencies
- Strong attention to detail and high level of accuracy.
- Excellent organizational and problem-solving skills.
- Proficient in Microsoft Office (especially Excel, Word, and Outlook).
- Experience with accounting or ERP systems is a plus.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong written and verbal communication skills.
Education
- High School Diploma or GED required. Associate’s or Bachelor’s degree preferred.
