About the Role
As Sales Coordinator, you will play an essential role in supporting the Sales team, coordinating group business, maintaining client relationships, and ensuring a seamless experience from the initial inquiry through arrival. This role is perfect for someone who thrives in a fast-paced hospitality environment, enjoys multitasking, and takes pride in delivering outstanding customer service.
Your Impact
You will serve as the operational backbone of the Sales & Marketing department by supporting sales initiatives, coordinating group and event logistics, maintaining accurate systems and reporting, and providing exceptional service to both internal and external clients. Your organization, communication, and attention to detail will directly contribute to revenue growth, client satisfaction, and the overall success of the hotel.
What You'll Be Doing
Sales Coordination & Administration
- Support the Sales & Marketing team with proposals, contracts, presentations, correspondence, Banquet Event Orders (BEOs), Group Resumes, and client documentation.
- Manage incoming sales inquiries and ensure timely lead distribution and follow-up.
- Prepare contracts, rooming lists, and group documentation while maintaining accuracy throughout the sales process.
- Maintain organized sales files, electronic records, and departmental reporting.
- Assist with small group bookings and coordinate client requests from inquiry through arrival.
- Prepare weekly, monthly, and quarterly sales reports, activity tracking, and Calendar of Events updates.
Client & Guest Experience
- Serve as a professional point of contact for clients, guests, and business partners.
- Assist with coordinating site inspections, hotel tours, and VIP visits.
- Respond promptly to client requests while ensuring a high level of customer service.
- Help ensure group arrivals and meeting details are communicated accurately across hotel departments.
- Support a seamless guest experience by anticipating client needs and following through on commitments.
Systems & Operational Support
- Maintain accurate information in Delphi, Salesforce, Opera, CVENT/Lanyon, and other hotel systems.
- Assist with data entry, reporting, forecasting support, and account management.
- Monitor group room blocks and coordinate updates with Reservations and Revenue Management.
- Support departmental projects and process improvements that increase efficiency and organization.
Team Collaboration
- Partner closely with Catering, Reservations, Revenue Management, Front Office, Finance, and Operations teams.
- Support the Sales team with administrative projects, client communications, and event coordination.
- Participate in departmental meetings and contribute to continuous improvement initiatives.
- Foster positive working relationships across all hotel departments while supporting a collaborative team environment.

Requirements
- 1–3 years of experience in hospitality, hotel sales, event coordination, administrative support, or customer service preferred.
- Previous hotel experience strongly preferred.
- Experience with hotel systems including Delphi, Opera, Salesforce, CVENT/Lanyon, or similar platforms is a plus.
- Strong proficiency in Microsoft Office Suite, particularly Excel, Outlook, Word, and PowerPoint.
- Excellent written, verbal, and interpersonal communication skills.
- Strong organizational, time management, and multitasking abilities.
- Ability to work independently while collaborating effectively within a team.
