Finance and Office Manager (Full-Time)
Position Title: Finance and Office Manager
Location: Holy Spirit Catholic Church
Department: Parish Administration
Reports To: Pastor/Parish Administrator
Employment Status: Full-Time, Exempt
Pay Range: $80,000 to $96,000 (based on experience, education, and qualifications)
Position Summary
The Finance and Office Manager is responsible for overseeing the financial and administrative operations of Holy Spirit Parish. This position ensures the effective stewardship of parish resources by managing financial processes, supervising office operations, supporting parish staff, and maintaining compliance with diocesan policies and accepted accounting practices.
Essential Functions: Because all Holy Spirit Church employees represent the Roman Catholic Church, they are expected to conduct themselves according to the goals and mission of the Church in performing their work.
Essential Responsibilities
Financial Management
- Oversee the parish's financial operations, including budgeting, accounting, payroll, accounts payable, accounts receivable, and bank reconciliations.
- Prepare monthly, quarterly, and annual financial reports for the Pastor and Finance Council.
- Monitor parish income and expenditures and assist in the annual budgeting process.
- Work with RCBO Offices of Human Resources and Finance to ensure that appropriate documentation is maintained in payroll, accounting and personnel files. Secure and maintain personnel and financial records according to federal, state, and any other applicable regulations.
- Coordinate annual financial audits and assist with diocesan financial reporting.
- Oversee parish banking, cash handling, and internal financial controls.
- Supervise the Parish Accountant.
Office Administration
- Oversee the daily operations of the parish office.
- Supervise and support office staff and volunteers.
- Maintain parish records and office procedures.
- Coordinate office systems, supplies, equipment, and vendor relationships.
- Assist with parish communications and administrative support for ministries and parish events.
Human Resources
- Assist with employee onboarding and personnel records.
- Coordinate payroll, employee benefits, and compliance with employment policies.
- Maintain confidential personnel files.
General Responsibilities
- Serve as a member of the parish leadership team.
- Attend Finance Council meetings as requested.
- Promote good stewardship of parish resources.
- Perform other duties as assigned by the Pastor.
Qualifications
- Bachelor's degree in Accounting, Business Administration, Finance, or a related field preferred.
- Minimum of three years of experience in accounting, finance, or office management.
- Proficiency in QuickBooks and Microsoft Office (Word, Excel, Outlook); experience with parish management software is a plus.
- Strong organizational, leadership, and communication skills.
- Ability to manage multiple priorities while maintaining confidentiality.
- Knowledge of nonprofit accounting is preferred.
- Practicing Catholic familiar with the mission of the Church is preferred.
- Understanding of Catholic social teaching and its application to parish operations.
Physical Requirements
- Ability to remain seated for extended periods while performing administrative and computer‑based tasks.
- Ability to sit, stand, walk, lift up to 25 pounds, and perform routine office duties.
