Reporting to the Director of Guest Services, this person serves as the primary office administrator for Part-Time Special Event Staff operations at Ohio Stadium, Covelli Center, and other Athletic venues and ensures compliance with State, University and Department policies, procedures and guidelines. Manage scheduling, positioning and payroll operations for Event Staff (1200-1300 employees) for all athletic events, stadium concerts, camps and other special events. Maintains a calendar of special events and anticipates staffing needs. Serves as initial point of contact regarding special events and daily stadium staffing needs. Maintains database of available Staff and collaborates with Event Management, Camps, and Scarlet & Gray Venues to ensure special events are properly staffed. Prepares and disseminates assignment rosters for events, collects rosters post event and verifies payroll accuracy. Coordinates and maintains stock of uniforms, supplies, and equipment needed for events and management of staff. Provides supervision of event staff during assigned events and conducts follow-up coaching and performance management of part-time supervisors and staff. Helps oversee the recruitment, hiring, and training processes. Assists with the Reward & Recognition program and collaborates on team member recognition events. Obtains event staffing summary details and reconciles costs for special event billing and payroll. Maintains event files and deployment records. Assists with developing the Guest Services annual budget.
Assists Event Management with the preparation of OSU athletic events, invitational, championships and tournaments, as well as large stadium concerts or events (may include but is not limited to contacting visiting teams and officials, preparing credentials and pass lists and timing protocols and facility set up). Assists with the preparation of bidding materials for NCAA, Big Ten and other conference tournaments and events. Attend weekly event meetings and work on other special projects and assignments or working groups as determined by supervisor.
Assists in supervision of student assistants and interns; assists Event Management, Camps and Scarlet & Gray Venues with special projects and events. Ability to work flexible hours including evenings, weekends and holidays required based on the schedule of OSU athletic events. Performs other duties as assigned. This position works in a creative and collaborative team environment where change is embraced and innovation is encouraged.
Minimum Required Qualifications
Bachelor's degree or equivalent experience. 4 years of relevant experience required.
Preferred Qualifications
Advanced degree in relevant field may be desirable. 4-8 years of relevant experience preferred.
Additional Information
The target hiring range for this job profile is $ 47,700 - $62,300. The actual salary paid to an individual will vary based on multiple factors, including but not limited to, education, years of experience, internal equity, etc.
