PEOPLE OPERATIONS COORDINATOR

Location

  • California Food Factory: 1850 Raymer Ave, Fullerton, CA, 92283 (N. Gilbert St and W. Commonwealth Ave.) | Monday to Friday (Weekends - rarely occasional)

Responsibilities

The People Operations Coordinator provides administrative and operational support across a broad range of People Operations functions, including recruiting, onboarding, offboarding, employee records administration, training coordination, benefits support, compliance tracking, and employee services. This role serves as a key resource for employees and managers by delivering timely support, maintaining accurate records, and helping ensure compliance with company policies and employment regulations within a fast-paced ready-to-eat food manufacturing environment.

  • Support recruiting efforts by posting job opportunities, screening resumes, scheduling interviews, and coordinating candidate communications.
  • Assist with hiring activities, including preparing offer letters and pre-employment documentation.
  • Coordinate pre-employment screenings and onboarding requirements.
  • Coordinate new hire onboarding activities, including orientation scheduling, new hire paperwork, and employment eligibility verification (Form I-9).
  • Ensure employee files and onboarding documentation are completed and maintained accurately.
  • Assist with employee events, communications, and engagement activities.
  • Assist with employee separations, exit documentation, and offboarding processes.
  • Serve as a point of contact for employee questions regarding policies, benefits, payroll, and general employment matters.
  • Escalate complex employee relations concerns to the People Operations Manager.
  • Maintain employee files and documentation in accordance with company policies and applicable federal, state, and local requirements.
  • Assist with HR audits, compliance tracking, and required reporting.
  • Support compliance with California labor laws, food manufacturing requirements, and company policies.
  • Coordinate employee training programs, including food safety, workplace safety, harassment prevention, and other required compliance trainings as well tracking and maintaining training records.
  • Assist in scheduling and organizing development and learning opportunities.
  • Partner with staffing agencies to coordinate onboarding requirements, attendance tracking, and compliance documentation for temporary employees.
  • Work with corporate providing information to be recorded within HRIS and related systems.
  • Generate routine reports and assist with data audits to ensure accuracy.
  • Process employee status changes, promotions, transfers, and other personnel actions.
  • Assist with communicating company policies, procedures, and People Operations programs.
  • Support policy acknowledgment tracking and document retention requirements.
  • Coordinate leave-related documentation and employee communications.
  • Maintain leave records and assist with tracking leaves of absence under the direction of the People Operations Manager.
  • Ensure required documentation is collected and filed appropriately.
  • Support workplace safety initiatives and training programs.
  • Assist with workers' compensation reporting, documentation, and claim tracking.
  • Partner with Operations and Safety teams to maintain accurate records and follow-up documentation.
  • Participate in People Operations projects and initiatives as assigned.
  • May travel occasionally to support People Operations initiatives and training activities at other company locations.

Qualifications

  • Associate's or Bachelor's degree in Human Resources, Business Administration, or related field preferred.
  • Bilingual (English & Spanish) Highly preferred
  • 1-3 years of Human Resources, administrative, recruiting, or employee support experience highly preferred.
  • Experience in manufacturing, food production, distribution, or a related environment preferred.
  • Working knowledge of California employment laws and HR best practices preferred.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent verbal and written communication skills.
  • High level of professionalism, discretion, and confidentiality.
  • Proficient in Microsoft Office Suite and HRIS systems.

Work Environment

  • Combination of office and food manufacturing environments.
  • Regular interaction with hourly and salaried employees.
  • Frequent walking through production, warehouse, and operational areas.
  • Must be able to work in environments that may include varying temperatures, noise levels, and food production activities.
  • Ability to sit, stand, walk, bend, and use standard office equipment throughout the workday.
