Executive Operations Assistant (Owner's Right Hand)

As we continue to expand, we're looking for an exceptional Executive Operations Assistant who can become the owner's trusted right hand—someone who turns ideas into execution, builds efficient systems, and leverages technology and AI to help the company grow.

This is more than a traditional Executive Assistant role. We're looking for someone who enjoys creating order from chaos, solving problems, improving processes, and ensuring that every important initiative moves forward.

Your Mission

Your primary responsibility is to help the owner stay focused on growing the business while you drive execution behind the scenes.

You'll transform ideas into actionable plans, coordinate projects across departments, hold team members accountable, improve operational systems, and make sure nothing falls through the cracks.

You'll become one of the most trusted people in the organization.

Key Responsibilities

Executive Support

  • Manage the owner's calendar, priorities, meetings, and reminders
  • Prepare agendas and track action items
  • Organize communications and follow up until commitments are completed

Project Management

  • Turn ideas into organized project plans
  • Assign ownership and deadlines
  • Track progress across multiple initiatives
  • Ensure projects move forward without constant supervision
  • Remove roadblocks and keep teams aligned

Operations & Process Improvement

  • Create, document, and improve Standard Operating Procedures (SOPs)
  • Identify inefficiencies and recommend better systems
  • Build workflows that improve accountability and execution
  • Help scale internal operations as the company grows

Team Coordination

  • Coordinate communication between managers and departments
  • Keep everyone aligned on priorities
  • Ensure deadlines are met
  • Follow up consistently until tasks are completed

Marketing & Special Projects

  • Assist with marketing initiatives
  • Coordinate special projects from planning through completion
  • Support new business initiatives and company growth

AI & Automation

  • Use AI tools to increase productivity
  • Automate repetitive administrative work
  • Research and implement new technologies that improve efficiency
  • Continuously look for smarter ways to operate

Qualifications

Required

  • Executive Assistant, Operations Coordinator, Project Coordinator, or Operations Manager experience
  • Outstanding organizational and time management skills
  • Strong written and verbal communication
  • Excellent follow-through and attention to detail
  • Ability to manage multiple priorities simultaneously
  • Self-motivated and comfortable working remotely
  • Strong problem-solving skills
  • High level of integrity and accountability

Preferred

  • Experience with ClickUp, Asana, Trello, or other project management software
  • Google Workspace
  • Slack
  • Canva
  • AI tools such as ChatGPT, Claude, Gemini, or similar productivity platforms
  • Experience documenting SOPs and improving business processes

Roofing or construction experience is a plus, but not required.
