Work Schedule: 4:00 PM - 12:30 AM with alternating weekends

Occupational Summary

Perform duties in computerized order entry, shipping, receiving, and distribution of hospital merchandise, supplies, equipment, and linen. Maintain strong inventory management processes to meet supply needs with prompt delivery. Ensure the accuracy of issued items, maintain good working order and availability of equipment, and facilitate smooth operations at the loading dock and stockrooms.

Level 1 Responsibilities

Level 1 staff are required to perform the following core shipping and receiving duties, ensuring optimal inventory management for in-scope facilities:

  • Accept and sign for deliveries from distributors.

  • Inspect inbound shipments and report identified shipment discrepancies to onsite management.

  • Enter Goods Receipts into the SAP system and file packing slips accurately.

  • Prepare and ship out Vendor Returns.

  • Transport shipments from the loading dock to the stockroom.

  • Deliver received packages to appropriate purchasers and hospital departments.

  • Move and stock supplies to appropriate shelving locations and rotate stock once receiving is complete.

  • Perform regular cycle counts to ensure the accuracy of stock levels.

  • Check expiration dates on supplies, document findings, and discard expired products.

  • Distribute and restock supplies, linen, and non-supply items (e.g., medical gas) to end users.

  • Ensure all STAT orders are completed according to specified service level agreements.

  • Use appropriate Supply Chain technologies (Pyxis and SAP) to document the movement of supplies.

  • Participate in mid-year and year-end inventory counts.

  • Keep all Supply Chain work areas, loading docks, and storage areas clean and organized.

  • Provide excellent customer service to address supply questions and recommend operational efficiency improvements.

Level 2 Responsibilities

In addition to Level 1 duties, Level 2 staff spend at least 50% of their time performing the following advanced functions:

  • Serve as the Subject Matter Expert (SME) for the TIMS module, including receiving and documenting.

  • Access and utilize Vendormate for vendor management.

  • Work with customers to help reconcile shipping invoices as needed.

  • Effectively use the ERP system to pull reports, locate products, use handheld technologies for delivery and PAR replenishment, and close out daily SAP transactions.

  • Pull EPIC and Pyxis reports, analyze data, and provide appropriate recommendations.

  • Coordinate, manage, and deliver supplies to off-site clinics and facilities.

  • Oversee consignment inventory processes and assist in annual inventory preparations.

  • Collaborate with Supply Chain stakeholders to adjust par levels and address slow-moving items based on usage.

  • Troubleshoot supply shortage issues and articulate the known impact to impacted departments.

  • Act as a mentor and preceptor to Level 1 Supply Chain Associates and serve as back-up Team Lead when necessary.

  • Participate in PERT, OR EDIT, and VAT discussions as assigned.

  • Complete all assigned tasks with minimal supervision from the Team Lead and Manager.

Physical Requirements & Skills

  • Exertional Force: Push/pull loaded and unloaded supply carts requiring up to 100 pounds of force daily.

  • Lifting: Exert 20 to 50 pounds of force occasionally, 10 to 25 pounds frequently, and up to 10 pounds constantly to move objects.

  • Mobility: Frequent reaching, lifting, stooping, and bending throughout the shift.

  • Problem Solving: Proactively contribute to process improvements, create new ideas, and solve logistical problems.

  • Work Ethic: Work cooperatively in a computerized environment, possess a sense of urgency, and maintain a proactive customer service philosophy.

  • Level 2 Specifics: Experience using an ERP system and demonstrated competency in inventory management.

Minimum Qualifications

Education

  • Required: High School Diploma or G.E.D.

  • Preferred: Some college-level coursework.

Experience

  • Level 1: At least 1 year of work experience in distribution, warehousing, shipping, receiving, logistics, material handling, inventory control, or a comparable service line. Strongly prefer experience in a fast-paced, customer service environment.

  • Level 2: At least 2 years of work experience in at least one of the disciplines listed above.

Degrees, Licensures, Certifications

  • Required: Valid Driver's License may be required depending on off-site transport needs.
