The Role

You'll be the utility player who keeps the firm running day to day: supporting fund operations and investor onboarding, managing our outsourced providers, processing expenses and payables, and keeping our documents, trackers, and deadlines in order. Just as important, you'll spot what's broken or missing and fix it before anyone asks, turning ad hoc, one-off tasks into documented, repeatable, automated systems. This role runs on a good attitude and a yes mentality — no task is too big or too small. You'll work directly with the founders and touch every part of the business that isn't deal work.

What you'll do

  • Founder & CEO support: work side-by-side with the CEO to manage priorities and scheduling, prep meetings, own follow-ups, and turn messy, half-formed asks into finished output.
  • Vendor management: serve as day-to-day point of contact for outsourced providers (accounting, fund admin, payroll, insurance, outside counsel); own the vendor and contract tracker (costs, renewals, contacts); process accounts payable and vendor payments.
  • Fund operations support: coordinate investor onboarding (subscription documents, KYC/AML, accreditation verification) with the fund administrator and counsel; support NAV reconciliation review and capital call and distribution execution against documented playbooks; own board meeting logistics (scheduling, materials assembly, minutes, follow-ups).
  • Compliance & legal support: own the firm-wide calendar (compliance filings, budget and financials due dates, key vehicle timelines); process NDAs from an approved template set with an escalation path to counsel; keep entity and corporate housekeeping trackers current.
  • People operations: administer payroll and benefits (Paychex); administer corporate cards and expense software (Ramp) and enforce the expense policy; run hiring logistics (interview scheduling, candidate tracking) and employee onboarding and offboarding; plan and execute team events, offsites, and investor and partner gatherings; research industry conferences worth attending and track event invites and outreach; provide light support on social and content coordination (helping coordinate posts and materials across the team).
  • Document, process & systems: maintain the firm's document management structure (SharePoint), naming conventions, and process playbooks; keep checklists and trackers live and accurate; keep Notion data current (company database tagging and hygiene, someday/maybe lists, CRM data).
  • Automation: improve and automate recurring workflows, including the AI-assisted processes we already run; maintain AI-assisted decision logs capturing key meeting decisions, postmortems, and event debriefs.

Requirements

What we're looking for

  • 2–5 years of operations, administration, or fund operations experience, ideally at an investment firm, fund business, or fast-moving startup.
  • A true utility player: you'll take on anything the firm needs with a smile and a positive attitude. People like working with you, and you make the people around you better.
  • A builder: you make things happen beyond a job description and have side projects, systems you've stood up, or processes you've owned end-to-end to show for it.
  • High agency, low ego: you don't wait to be told what to do, you move fast, and no task is beneath you. Chasing vendors, fixing logistics, and sitting on hold are all part of the job.
  • Extreme reliability: you keep commitments, hit recurring deadlines without reminders, and communicate proactively when something is at risk.
  • Strong organization: you build and maintain trackers, follow naming conventions, and leave a clean paper trail others can pick up.
  • Comfort with the tool stack: expense platforms (e.g., Ramp), payroll systems, DocuSign, SharePoint or similar, and a willingness to learn fund-ops tools quickly.
  • Clear communication: you write and speak concisely, and you flag risks early.
  • Discretion: you will handle sensitive financial, investor, and personnel information with care.

Bonus points

  • Interest in digital assets and familiarity with crypto operations (wallets, exchanges, custodians) is a plus, not a requirement; we'll train.
  • Background in a high-intensity environment (fund, law, consulting, banking, startup, military, or competitive sport).
  • You use AI to 10x your output while keeping a high bar for quality.
