Executive Assistant - Thoracic Radiation Oncology at MD Anderson
The University of Texas MD Anderson Cancer Center is seeking an Executive Assistant to support operations within the Thoracic Radiation Oncology department. The Executive Assistant plays a critical role in ensuring efficient coordination of administrative, operational, and project-based activities, enabling leadership to focus on clinical, research, and educational priorities. This role is integral to maintaining organized workflows across communication, scheduling, documentation, and program initiatives. Strong organizational skills, advanced scheduling expertise, and the ability to manage multiple priorities are highly valued.
Minimum $25.48 - Midpoint $31.73 - Maximum $37.98

Responsibilities
Administrative & Operational Support
- Perform general office operations including answering calls, greeting visitors, and managing correspondence
- Prepare written communications, maintain supplies, file documents, and process purchases
- Support the Chair of Thoracic Radiation Oncology with sensitive and confidential tasks requiring discretion
- Manage general assignments and provide coordination support for departmental programs
Scheduling, Meetings & Events
- Coordinate complex scheduling for meetings, classes, seminars, symposiums, workshops, and large institutional events
- Prepare meeting minutes for conferences and program activities
- Draft seminar announcements and manage event advertising
- Coordinate conference room logistics, food orders, and event setup
Program & Project Coordination
- Manage assigned coordination projects to support departmental initiatives
- Assist with business development activities including policy creation, training, research, and program coordination
- Participate in mentoring new support staff during onboarding periods
- Update the department website on a quarterly basis
Licensing, Records & Compliance
- Process licensing applications and renewals
- Maintain continuing medical education records
- Complete required educational courses and ensure compliance with institutional policies
Finance & Travel Coordination
- Arrange travel including registration, accommodations, and transportation
- Collect receipts and prepare travel reimbursements in accordance with institutional procedures
- Coordinate financial and service arrangements for departmental needs
- Perform additional duties as assigned
EDUCATION
- Required: High School Diploma or Equivalent
- Preferred: Bachelor's Degree
WORK EXPERIENCE
- Required: 6 years Administrative/secretarial experience supporting a leadership/executive level position. or
- Required: 2 years Required experience with Bachelor's degree.
