The United States Department of State, Bureau of Political-Military Affairs, Office of the Directorate of Defense Trade Controls (PM-DDTC) is responsible for the regulation of defense trade through the Arms Export Control Act (AECA) and its implementing regulations, the International Traffic in Arms Regulations (ITAR). DDTC regulates temporary and permanent exports and the temporary import of defense articles, defense services, and technical data involving items on the United States Munitions List (USML). DDTC regulates the brokering of defense articles, defense services, and technical data. DDTC maintains the registration of manufacturers, exporters and brokers and issues export authorizations. DDTC administers the commodity jurisdiction process, a formal USG decision process to determine which specific items are controlled by the USML or by the Department of Commerce’s Export Administration Regulations. DDTC ensures compliance with the ITAR and AECA through its support of criminal enforcement actions undertaken by the Department of Justice, civil enforcement actions initiated in-house, disclosure program through which companies are encouraged to report violations they have discovered, and pre- and post-license checks to confirm that goods are being shipped as authorized by the export license.
The Office Support II position provides professional analytical, operational, and security-support functions for the directorate, encompassing asset management, emergency preparedness, physical security and badging support, facilities coordination, and floor plan administration. This role requires strong organizational and analytical skills, prior IT experience, proficiency in the Microsoft Office Suite (including Excel, PowerPoint, and Teams), the ability to manage multiple concurrent responsibilities with minimal supervision, and the ability to obtain and maintain a Top Secret/Sensitive Compartmented Information (TS/SCI) security clearance. The incumbent works a late shift to support end-of-day physical security requirements. The ideal candidate is a professional, collaborative team player with strong attention to detail and sound critical thinking.
Duties Assigned
1. Asset Management Coordinator
- Tracks, manages, and organizes the directorate’s equipment and digital assets throughout their lifecycle, from procurement through disposal.
- Applies IT experience to support equipment configuration, inventory accuracy, and troubleshooting of basic technical issues as needed.
2. Emergency Evacuation Coordinator
- Develops and manages office evacuation plans.
- Notifies office personnel of scheduled evacuation drills.
- Maintains an accurate, current roster of floor warden personnel to ensure emergency preparedness.
3. Unit Security Officer Support
- Maintains and updates logs of daily physical security activity.
- Manages badging processes, including issuance, tracking, and deactivation of facility access badges.
- Utilizes the Visitor Access Request System (VARS) to process and manage visitor access requests.
- Assists the Special Security Officer (SSO) with security-related administrative tasks as needed.
- Conducts hourly and end-of-day physical security checks to ensure compliance with security protocols.
- Reports to duty at 9:30 a.m. to provide late shift coverage in support of physical security requirements.
4. Floor Plan Administrator
- Maintains accurate, up-to-date records of employee locations and room/space usage.
5. Facilities Management
- Submits and tracks facilities work order tickets through to resolution.
- Responds to facilities-related inquiries and liaises with building management on maintenance issues.
- Ensures office space and equipment needs are addressed promptly.
Requirements
- Prior IT experience, including familiarity with equipment tracking, configuration, and basic technical troubleshooting.
- Proficiency in the full Microsoft Office Suite, including Excel, PowerPoint, and Teams.
- Strong analytical and organizational skills, with the ability to manage multiple concurrent responsibilities.
- Ability to obtain and maintain a Top Secret/Sensitive Compartmented Information (TS/SCI) security clearance.
- Experience with, or ability to quickly learn, badging systems and visitor access request platforms (e.g., VARS).
- Excellent professional written communication skills.
- Strong critical and analytical thinking abilities.
- Professional demeanor, with the ability to work collaboratively as part of a team while also functioning effectively with minimal supervision.
- Ability to work a late shift (9:30 a.m. arrival) to support end-of-day physical security and badging responsibilities.
