Full Time – Receptionist

The NSC - Receptionist - will play an essential role in supporting the BayMark team, ensuring smooth operations in a fast-paced environment. The duties of this position include management of the corporate reception area, management of kitchen and office supplies, processing of mail and shipments, weekly reporting, leadership support and other project-based activities. Responsibilities

Administrative Support

  • Manage the BayMark reception area as needed by attending to vendors, deliveries, candidates and other guests.
  • Answer and direct incoming calls on the main company phone line.
  • Perform general clerical duties to include, but not limited to:
    • Photocopying
    • Scanning
    • Faxing
    • Mail: Open incoming mail and deliveries daily and distribute. Handle outbound mail/shipping projects and certified mailings.
  • Monitor the Patient Advocacy Hotline and distribute messages to the appropriate BayMark Operational leadership.
  • Respond to facility and external requests and inquiries directly or by assisting them in locating the appropriate NSC team member.
  • Assist in the management of office sites in Lewisville by:
    • Managing the inventory of office, kitchen and bathroom supplies
    • Receive and stock kitchen supplies
    • Attending to service providers (HVAC, repairmen, etc.) as needed.
    • Running local errands as needed.
  • Coordinate interview logistics, including candidate travel, visitor scheduling, and conference room setup.
  • Assist with onboarding logistics, including workspace setup and badge/access coordination, as assigned.
  • Assist with quarterly BCH meeting preparation, scheduling, materials, and meeting logistics.
  • Serve as backup support to the Executive Administrator during planned and unplanned absences by maintaining continuity of daily executive and administrative operations.

Executive/Legal Support

  • Provide administrative support as needed to the Executive Administrator and executive leadership, including the CEO, CFO, General Counsel, and other leaders, as assigned.
    • Preparing reports, spreadsheets, charts/graphs Preparing and maintaining a variety of correspondence
    • Submitting expense reports.
    • Coordinating meetings and conferences at the NSC
    • Maintaining general corporate records
    • Document tracking
    • Check requests
    • Project-based requests
  • Prepare and distribute the weekly Patient Activity Report.
  • Maintain and update the AmTrav corporate travel portal and assist with travel plans for executives.

Other

  • Adhere to company policies, procedures and Code of Conduct.
  • Interact with all staff in a positive and motivational fashion supporting the Company’s goals, mission, vision and values.
  • Other duties, as assigned.

Qualification

  • Minimum age requirement of 18
  • Associate or Bachelor’s degree required.
  • At least 3 years prior experience in an office setting.
  • Excellent customer service skills and professional public presentation skills, including telephone etiquette.
  • Excellent oral and written communication skills.
  • Strong computer skills, including: Microsoft Office products (Word, Excel, Power Point, Outlook, Teams) SharePoint and Visio, as well as internet-based research tools.
  • Must possess strong organizational and time management skills with the ability to provide effective oral and written documentation promptly.
  • Self-directed with the ability to work with little supervision.
  • Ability to multi-task and meet deadlines.
  • Flexible and cooperative in fulfilling all obligations.
  • Conduct all business activities in a professional and ethical manner.
  • The utmost integrity in the discreet and confidential handling of confidential information and materials.
  • Excellent interpersonal skills with a high level of diplomacy and ability to work effectively with different departments.
  • Satisfactory criminal background check.
  • Satisfactory drug screen.
  • Satisfactory references from employers and/or professional peers.
