Long Beach Generation is a 252MW Simple Cycle power plant located in Long Beach CA.

The Administrative Assistant II provides comprehensive administrative, accounting, payroll, purchasing, inventory, and human resources support for plant operations. This position plays a critical role in ensuring efficient day-to-day business activities through accurate financial processing, inventory control, employee support, and administrative coordination. The successful candidate will demonstrate strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced environment.

Essential Duties and Responsibilities

Accounts Payable & Purchasing

  • Process invoices in accordance with company policies and established procedures.
  • Ensure invoices are accurately reviewed, approved, and processed within required accounting deadlines.
  • Monitor and follow up on pending invoice approvals.
  • Resolve accounts payable inquiries promptly and professionally.
  • Administer purchasing card activities in compliance with corporate policies.
  • Manage sales tax exemption documentation and reporting requirements.
  • Maintain vendor records within company systems and ensure vendor compliance with insurance, contractual, and company requirements.
  • Support procurement activities and coordinate the receipt of materials and services.

Payroll & Human Resources Support

  • Process payroll and payroll-related reporting in accordance with company procedures.
  • Review, prepare, and process payroll documentation, including timesheets, labor allocations, bonuses, and other payroll adjustments.
  • Identify discrepancies and coordinate timely corrections.
  • Serve as a liaison between plant personnel and Corporate Human Resources.
  • Maintain employee records related to leave administration, workers' compensation, disability programs, and benefits.
  • Support recruiting, onboarding, orientation, and employee integration activities.
  • Assist with benefits administration and employee communications regarding benefit programs.

Administrative & Operational Support

  • Provide administrative support to plant leadership and departmental personnel.
  • Assist with compiling operational, environmental, and business reports by gathering and organizing required data.
  • Maintain and control site policies, procedures, and document revisions.
  • Track and maintain employee training, certifications, and safety records.
  • Maintain the security and organization of plant records, files, and office supplies.
  • Coordinate meetings, training sessions, travel arrangements, and special events.
  • Support company-sponsored employee recognition programs, community outreach activities, and plant functions.
  • Ensure compliance with corporate travel, expense reporting, and administrative procedures.
  • Handle sensitive and confidential information with discretion and professionalism.

Inventory & Materials Coordination

  • Administer inventory management procedures and maintain accurate inventory records.
  • Conduct routine inventory audits, cycle counts, and annual physical inventory counts.
  • Coordinate material deliveries and receiving activities.
  • Ensure materials and inventory are properly organized, labeled, and stored.
  • Support inventory reporting and reconciliation activities as required.
  • High school diploma or equivalent.
  • Minimum 3 years of administrative experience in an office, industrial, utility, manufacturing, or operations environment.
  • Experience supporting accounting, payroll, accounts payable, or administrative functions.
  • Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
  • Strong organizational, time-management, and multitasking skills.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Strong attention to detail and accuracy.
  • Ability to perform the essential functions of the position in an office and industrial environment, including extended periods of sitting, standing, walking, and occasional lifting of up to 25 pounds.

Preferred

  • Associate's or Bachelor's degree in Accounting, Business Administration, Human Resources, or a related field.
  • Experience with payroll processing, inventory management, and purchasing systems.
  • Knowledge of human resources practices and employee benefits administration.
  • Experience working in a power generation, manufacturing, industrial, or utility environment.

Work Environment

  • Work is performed in both office and industrial plant environments.
  • Occasional use of personal protective equipment (PPE), including hard hats, safety glasses, hearing protection, and safety footwear, may be required.
  • Position may require occasional overtime, weekend, or holiday work to support operational needs.
  • Participation in the company's Fitness for Duty Program, including applicable drug testing requirements, is required.

Applicants must possess a valid driver's license and maintain a clean driving record, as this position requires occasional travel for company business. Candidates should be comfortable operating a vehicle as part of their job responsibilities and must meet any applicable company and insurance requirements.
