Admissions Specialist - Records Processing

POSITION DETAILS

Founded in 1971 in Long Island City, Queens, LaGuardia Community College is one of seven community colleges of the City University of New York (CUNY). LaGuardia offers more than sixty associate degree programs and more than fifty workforce training, ESOL, GED, and pre-college programs. In 2023, LaGuardia served approximately 24,000 students. More than one-third of LaGuardia’s degree-seeking students are born outside the United States; they come from 136 countries and speak 43 heritage languages. Sixty percent are first-generation college students.

Virtually all LaGuardia students are ethnic minorities (89 percent), 58 percent are women, 27 percent are over the age of 25. Forty-six percent of associate degree students are Hispanic. Upon graduation most students transfer to four-year colleges, typically in CUNY, to complete their baccalaureate degrees. Graduates of career programs such as Nursing, Computer Technology, and Veterinary Technology enter the workforce. Reporting to the Associate Director of Admissions for Records this position is responsible for managing and supervising the daily activities regarding freshmen and transfer applications: data entry in CUNYFirst, non-degree application process, reactivating and archiving of files and completion of students’ files prior to and after registration.

The other responsibilities of this position are as follows:

  • Participates in the daily management of admissions and administrative activities of the Department;

  • Supports program development, student service delivery, outcome and retention;

  • Recommends, implements, and evaluates program strategies;

  • Prepares analytical and statistical reports for management;

  • Manages office recordkeeping; updates web and print materials;

  • Manages the coordination process of applications (freshman, transfer, international and non-degree) for both University Recommendations and direct admit applicants, special programs such as, College Now, ECL, CLIP and CUNYstart;

  • Manages the screening of all admissions files for missing documentation; assign residency rates based on application review, data entry into CUNYFirst, FileNet and UAPC Recommendations;

  • Maintains paper and electronic records, inventory records, and documentation related to the completion of admissions applications, work in progress and work completed;

  • Acts as a liaison for collaboration of data issues affecting the technical requirements in procedural matters for application review and database management;

  • Manages the Matriculation/Term activation process in CUNY First for new students, as well as, ensuring timely response for reactivation;

  • Manages training for Records Processing staff in Admissions;

  • Collaborates with IT Department and external vendors in the acquisition and implementation of software, upgrades and equipment maintenance;

  • Serves as resource expert regarding program policies and procedures;

  • Develops and maintains relationships with various College offices to improve student services;

  • Oversees vendor contract compliance;

  • Participates in various workshops for special programs.

QUALIFICATIONS

Bachelor's Degree and four years' related experience required.

PREFERRED QUALIFICATIONS

  • Strong verbal and interpersonal communication skills to work and interact effectively, collaboratively, and cooperate with a diverse community of students, faculty, staff and external constituents in a large centralized public university system.

  • Detail oriented with strong analytical, evaluation, research, writing and editing skills.

  • Computer proficiency using standard office software programs/applications.

CUNY TITLE OVERVIEW

Supervises activities in an operational unit supporting Admissions and/or Enrollment.

  • Oversees staff activities; plans and monitors employee scheduling and coverage and coordinates training

  • Serves as liaison to one or more departments providing student support services, such as Financial Aid

  • Coordinates selection process activities such as applications review, verification of information, and timely forwarding of data to other CUNY areas

  • Coordinates mailings and other communications

  • Monitors activity and reports on both transactions and outcomes

  • Completes projects to improve services and enhance productivity and cost-effectiveness

  • Performs related duties as assigned.
