The Sales Administrative Assistant responsibilities include but are not limited to providing administrative and operational support to the Sales team, ensuring the department operates efficiently and effectively. This role requires a highly organized, detail-oriented, and service-focused individual who thrives in a fast-paced environment and is committed to delivering exceptional support to both internal and external customers.
Essential Job Functions
Provide administrative support to the Sales team, including Sales Managers and the Director of Sales & Marketing.
- Maintain calendars, schedule meetings, coordinate appointments, and manage travel arrangements for department leadership.
- Assist in planning and coordinating hotel site inspections, client visits and others.
- Prepare proposals, contracts, presentations, reports, and other sales-related correspondence.
- Maintain accurate client records, sales files, and databases using the hotel's sales systems.
- Process contracts, group documentation, and other administrative paperwork in a timely manner.
- Answer incoming phone calls, respond to email inquiries, and direct customer requests appropriately.
- Coordinate internal meetings and communicate event details between departments to support successful client experiences.
- Monitor office supplies and maintain an organized and efficient sales office environment.
- Assist with special projects, marketing initiatives, and departmental events as assigned.
- Demonstrate exceptional customer service by responding promptly and professionally to internal and external stakeholders.
- Perform other administrative duties and responsibilities as assigned to support departmental goals.

Qualifications
- Previous administrative experience, preferably in hospitality, sales, or a customer service environment.
- Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and the ability to quickly learn new computer applications and hotel systems.
- Strong attention to detail and accuracy.
- Professional demeanor with outstanding interpersonal and customer service skills.
- Self-motivated, dependable, and able to work independently as well as collaboratively within a team.
- Demonstrated problem-solving skills and sound judgment.
- A genuine desire to satisfy the needs of others in a fast-paced hospitality environment.
