GENERAL DUTIES
This position has responsibility for the operation of a major administrative College activity, or difficult administrative and secretarial work in an office with College-wide responsibilities, or in an unusually complex academic department. May perform duties described under the lower title, CUNY Office Assistant (04802). Persons in this position are accountable for rendering quality services in a respectful, courteous and professional manner. In the University's multicultural environment, incumbents provide consistent assistance to everyone.
A CUNY Administrative Assistant position will be assigned to either Level 1 or Level 2. A position assigned to Level 1, with wide latitude for the exercise of independent initiative and judgment, performs office or secretarial work in various units, following relevant departmental, College, and University procedures. A position assigned to Level 2, with wide latitude for the exercise of independent initiative and judgment, performs very complex administrative or supervisory work; may work with other College units to complete significant administrative functions (e.g., payroll, facilities, personnel, budget, records, security, etc.).

Founded in 1971 in Long Island City, Queens, LaGuardia Community College is one of seven community colleges of the City University of New York (CUNY). LaGuardia offers more than sixty associate degree programs and more than fifty workforce training, ESOL, GED, and pre-college programs. In 2023, LaGuardia served approximately 24,000 students. More than one-third of LaGuardia’s degree-seeking students are born outside the United States; they come from 136 countries and speak 43 heritage languages. Sixty percent are first-generation college students.
Virtually all LaGuardia students are ethnic minorities (89 percent), 58 percent are women, 27 percent are over the age of 25. Forty-six percent of associate degree students are Hispanic. Upon graduation most students transfer to four-year colleges, typically in CUNY, to complete their baccalaureate degrees. Graduates of career programs such as Nursing, Computer Technology, and Veterinary Technology enter the workforce. College Now is CUNY’s largest collaborative program with the New York City secondary public school system. The program offers dual enrollment in high school and college as well as college-readiness programs in more than 400 New York City high schools, enrolling over 20,000 students annually. Much like many dual enrollment programs, the goal of College Now is to help students meet high school graduation requirements and prepare for academic and social success in college. In addition, program activities are designed to enhance performance on New York State Regents and CUNY placement examinations so that students are able to enroll in college without needing remediation.
LaGuardia's College Now program has partnerships with thirty-one high schools in the boroughs of Queens and Manhattan. We offer college level courses and college preparatory courses from the Humanities, English, Mathematics, Natural Sciences and Social Science departments, as well as summer programs which pair college courses with enrichment workshops. The College Now Program reports to the Associate Dean for Academic Affairs and the Academic Program Specialist will report directly to the Director for Precollege Programs.
Duties & Responsibilities:
Provide administrative support to the College Now Director and program staff, including calendar management, meeting coordination, correspondence, and document preparation.
Serve as a primary point of contact for College Now partner high schools, students, parents/guardians, faculty, academic departments, and campus offices.
Maintain accurate student, faculty, course, partner-school, and program records in accordance with CUNY and College Now policies.
Support student enrollment and registration processes, including monitoring required documentation, troubleshooting registration issues, and communicating deadlines.
Assist students with general questions related to eligibility, course schedules, registration, campus resources, and program expectations; refer students to appropriate offices when needed.
Prepare and distribute program communications, including emails, flyers, newsletters, meeting notices, course information, and student reminders.
Support the hiring and onboarding process for adjunct faculty, including collecting required paperwork, tracking appointments, coordinating with Human Resources, and maintaining faculty records.
Assist with faculty communication regarding course schedules, professional development, observations, student concerns, and administrative requirements.
Process purchase requests, invoices, reimbursements, and other fiscal documents; maintain organized records of program expenditures and support budget tracking.
Prepare routine reports, spreadsheets, rosters, attendance records, survey summaries, and other program data for internal use and external reporting.
Maintain confidential files and ensure compliance with applicable student privacy, personnel, and institutional policies.
Coordinate meetings, workshops, professional-development sessions, and special events, including preparing agendas, materials, sign-in sheets, and follow-up communications.
Support the collection and organization of student outcome data, including enrollment, course completion, grades, persistence, and participation in program activities.
Maintain office supplies, equipment, shared files, and electronic folders to ensure efficient daily operations.
Collaborate with campus departments such as Admissions, Registrar, Financial Aid, Academic Affairs, Student Affairs, Information Technology, and the Office of Accessibility to support student success.
Perform other related duties and special projects as assigned in support of College Now and FutureReady NYC initiatives.
MINIMUM QUALIFICATIONS

- Permanent status as a CUNY Office Assistant at Assignment Level 1 (Pay Level 3) or Assignment Level 2 (Pay Level 4).
Candidates who meet the above requirements must also meet requirements 2 and 4 after the close of the filing period.
Candidates must take and pass a job-related Civil Service Examination that measures critical competencies for the position.
Candidates must undergo a background check, including a fingerprint screening and a verification of their education and work history.
Candidates must demonstrate technical competence in using job-related software (e.g., word processing or other).
COMPENSATION
$56,501 - $76,304

Part-time employees must meet a weekly or semester work hour criteria to be eligible for health benefits. Health benefits are also extended to retirees who meet the eligibility criteria.
