As a CCLCM Education Coordinator II, you will coordinate the design and development of education programs for the Cleveland Clinic Lerner College of Medicine. In this role, you will primarily support faculty and the Medical Student Performance Review Committee (MSPRC) by overseeing student portfolios, assessments, and recommendations for progression throughout the medical education program. You will collaborate with the Dean of Assessment and Evaluation to monitor student progress through the e-Portfolio system, identify and report concerns, and assist with the coordination and processing of student assessment forms.

You will support MSPRC operations by scheduling and coordinating committee meetings, preparing meeting minutes, assisting with portfolio reviews during March, April, and June, and providing guidance to faculty regarding the review process. Additionally, you will assist the MSPRC Chair with drafting and editing student-related documentation and collaborate with internal teams and stakeholders to enhance awareness of program initiatives and address issues impacting educational programs.

A caregiver in this role works a hybrid schedule from 7:00 a.m. – 3:30 p.m. with flexibility in start and end times.

This position requires 3–4 days on-site and 1–2 days remote.

A caregiver who excels in this role will:

  • Coordinate directed educational opportunities and in-service programs that support the mission of the College of Medicine.

  • Collaborate with external and public advocates to coordinate educational opportunities that enhance awareness and engagement among targeted external groups.

  • Design, schedule, and coordinate educational meetings, including arranging presenters and speakers.

  • Oversee and edit content for College of Medicine intranet websites as needed.

  • Review and maintain current knowledge of relevant websites and resources related to assigned areas.

  • Develop communications and educational materials to inform stakeholders about programs and initiatives.

  • Create educational resources in collaboration with appropriate Cleveland Clinic departments and individuals, including Marketing, the Education Institute, Office of General Counsel, and the Cleveland Clinic Journal of Medicine.

  • Lead and train caregivers within the assigned area.

  • Collaborate with management to implement effective processes and performance improvement strategies.

  • Meet weekly with the Director of Assessment & Evaluation to support assessment initiatives.

  • Develop Year 1 and Year 2 assessment calendars outlining due dates for assessments, formative portfolios, summative portfolios, summative portfolio reviews, and learning plans.

  • Add reminders to the Portal for approved assessment calendars, including student learning plans, formative portfolios, and summative portfolios.

  • Collaborate with the Director of Assessment & Evaluation to plan and coordinate assessment workshops, including Introduction to the Assessment System (July), Introduction to Learning Plans/Formative Portfolios (September), and Summative Portfolio Workshop (April).

  • Develop instructions and resources for formative and summative portfolios and learning plans.

  • Monitor completion and ensure timely submission of formative and summative portfolios and learning plans.

  • Ensure assessment system information on the CCLCM website remains accurate and up to date.

  • Maintain and update the e-Portfolio Resource Page.

  • Provide administrative support for College Assessment & Outcomes Committee (CAOC) meetings held the first Friday of every other month (October, December, February, April, and June) from 7:00 a.m. – 9:00 a.m.

  • Schedule, attend, and document minutes for monthly committee meetings and monthly MSPRC planning meetings (September, October, November, January, February, and July/August as needed).

  • Track students participating in Formal Performance Improvement (FPI).

  • Maintain and update MSPRC documentation, including membership and tenure records, photo roster, remediation history, summaries of information due, and policies and procedures.

  • Schedule, coordinate, and support all aspects of summative portfolio reviews for Years 1, 2, and 4 students.

  • Assist with the preparation and generation of Performance Recommendation letters.

  • Schedule, organize, and participate in the MSPRC new member training workshop held in February.

  • Provide administrative support to the MSPRC Chair.

  • Support Medical Student Performance Review Committee (MSPRC) meetings held the third Thursday of September, October, November, January, and February from 7:00 a.m. – 9:00 a.m.

  • Coordinate additional MSPRC meetings in July or August as needed to address student concerns.

  • Perform other duties as assigned.

Minimum qualifications for the ideal future caregiver include:

  • Bachelor's degree in education, business administration or related field

  • Three years of experience in a hospital or education setting dealing with the coordination or administration of education, training programs, medical education, special projects or related areas

  • Conflict resolution skills

Preferred qualifications for the ideal future caregiver include:

  • Master's degree

  • Professional experience working in a higher education setting (e.g., college or university)

  • Experience working with multiple groups or leaders simultaneously (e.g., managing competing priorities, collaborating across departments, or supporting multiple stakeholders)

  • Basic IT and office skills

Physical Requirements

  • Ability to perform work in a stationary position for extended periods

  • Ability to operate a computer and other office equipment

  • Ability to travel throughout the hospital system

  • Ability to communicate and exchange accurate information

  • In some locations, ability to move up to 20 pounds

Pay Range

Minimum Annual Salary: $43,200.00

Maximum Annual Salary: $65,880.00
