About the Role
The Administrative Assistant IV provides high-level administrative support to senior leaders within a global enterprise sales organization. This role is responsible for managing executive calendars, coordinating domestic and international travel, overseeing expense reporting, and supporting business operations across a virtual global team. The ideal candidate is highly organized, proactive, detail-oriented, and experienced in supporting senior executives within large enterprise environments. Location: Bellevue, Washington, United States (Primarily Remote)
Responsibilities
- Executive Calendar Management
- Manage complex executive calendars while ensuring alignment with organizational priorities.
- Coordinate meetings across multiple time zones and global teams.
- Schedule and prioritize executive appointments, business reviews, and leadership meetings.
- Resolve scheduling conflicts while maintaining executive productivity.
- Monitor calendar changes and communicate updates to stakeholders.
- Ensure seamless coordination of executive schedules and commitments.
- Travel & Logistics Coordination
- Coordinate domestic and international travel arrangements for senior executives.
- Book flights, accommodations, ground transportation, and related travel services.
- Support visa application processes and international travel documentation when required.
- Adjust travel plans quickly to accommodate schedule changes.
- Prepare detailed travel itineraries for leadership.
- Coordinate logistics for business trips and executive travel requirements.
- Financial & Expense Administration
- Prepare, review, and submit executive expense reports accurately and on time.
- Review invoices, financial statements, and related documentation.
- Maintain accurate financial records supporting administrative operations.
- Assist with expense reconciliation and reporting.
- Ensure compliance with organizational expense policies.
- Support administrative financial processes as required.
- Administrative & Meeting Support
- Provide comprehensive administrative support to senior leadership.
- Manage records, correspondence, reports, and confidential documentation.
- Prepare meeting agendas and supporting materials.
- Coordinate conference calls, virtual meetings, and video conferences.
- Organize off-site meetings, events, catering, and logistical arrangements.
- Order office supplies and perform general administrative duties.
- Operational Support & Collaboration
- Collaborate with executives, business leaders, and cross-functional teams.
- Handle confidential business information with professionalism and discretion.
- Support operational efficiency across a global enterprise sales organization.
- Manage multiple priorities while meeting tight deadlines.
- Proactively identify administrative improvements and workflow efficiencies.
- Contribute to a collaborative, customer-focused, and high-performing work environment.
Qualifications
- High school diploma or GED.
- 8–10 years of experience in administrative or executive administrative roles.
- Extensive experience supporting senior executives within enterprise organizations.
- Strong expertise in executive calendar management.
- Experience preparing and managing executive expense reports.
- Advanced proficiency with Microsoft Word, Excel, and PowerPoint.
- Experience using Microsoft enterprise tools and business applications.
- Strong knowledge of Excel functions, including PivotTables and VLOOKUPs.
- Excellent verbal and written communication skills.
- Outstanding organizational and multitasking abilities.
- Exceptional attention to detail and accuracy.
- Ability to work independently while managing multiple priorities.
- Strong problem-solving and time management skills.
- Ability to maintain confidentiality and exercise sound judgment.
Preferred Skills
- Experience supporting Microsoft executives or similar enterprise leadership teams.
- Familiarity with Microsoft internal systems and processes.
- Experience planning corporate events and executive meetings.
- Experience coordinating off-site meetings and employee engagement activities.
