About The Role
Viasox warehouse operatives pick and pack orders for direct-to-consumer (B2C) sales. As Warehouse Supervisor, you will oversee the complete flow of goods from receiving at the warehouse through to delivery to the customer, ensuring the highest standards in efficiency, quality, and customer satisfaction. Reporting directly to the COO, this role leads all facets of warehouse management, vendor coordination, and quality assurance.
Your mission is to ensure all Viasox products move seamlessly from our North American warehouses into customers' hands on time, in perfect condition, and at optimal cost — while driving innovation, safety, and continuous improvement throughout the operation.
Key Responsibilities
Fulfillment & Warehouse Operations
- Manage all fulfillment operations — receiving, put-away, returns, picking, packing, and shipping — using ShipHero (WMS), including barcode scanning and order batching.
- Track inbound shipments through email threads using standardized subject-line naming conventions for easy search and coordination.
- Maintain an organized warehouse layout using LEAN principles.
- Supervise daily warehouse operations and shift management, adjusting headcount as needed based on workload and delivery schedules.
- Organize and manage employee schedules and order picks.
- Pick and pack individual orders as needed to support the team.
- Lift, organize, and sort boxes up to 30 lbs (boxes are properly sized and manageable).
- Move pallets using a pump truck or reach machine as required.
Team Leadership & Training
- Supervise team leads and floor staff, assign daily tasks, and share weekly performance updates.
- Monitor the team lead's productivity, attendance, and adherence to standard operating procedures.
- Train new hires through hands-on, on-floor coaching.
- Ensure the team uses WMS processes correctly for scanning and order routing to reduce mis-picks and delays.
Inventory Management
- Manage real-time inventory accuracy through the WMS.
- Manage inventory transfers and storage levels across warehouse zones using the WMS internal transfer feature.
- Perform cycle counts and inventory adjustments directly in the WMS; reconcile variances via audit logs and note updates in weekly reports.
- Track and count inventory to ensure smooth ordering and replenishment.
- Analyze carrying costs and dead stock in the Product Inventory Dashboard to identify SKUs for liquidation or bundling; propose recommendations to leadership in demand planning meetings.
Quality Assurance
- Conduct visual inspections of inbound goods and flag any issues to the supplier and management through established channels (WhatsApp, Slack).
- Document quality issues (e.g., incorrect labelling, damaged packaging) in the Supplier Performance Log, including follow-up actions or chargebacks.
- Coordinate with customer service to maintain a feedback loop and ensure orders, refunds, and returns are handled correctly.
Safety & Compliance
- Ensure all warehouse safety standards are met and followed, including protocols for machinery operation.
Reporting & Continuous Improvement
- Track weekly KPIs via WMS reports and summarize findings in an Asana task.
- Compile weekly performance metrics from the Fulfillment Tracker and post to Asana as part of the weekly update.
- Report weekly operations performance to the COO via Asana task comments or Slack.
- Identify operational bottlenecks weekly and address them via Asana tasks or Slack coordination.
- Lead continuous improvement initiatives to enhance speed, accuracy, and cost-efficiency.
- Openness to leveraging AI for process improvements in reporting, forecasting, and operations.
What We're Looking For
Must-Haves
- Experience: 3-5 years in warehousing operations, with a leadership role (eCommerce experience preferred).
- Technical Expertise: Strong proficiency in Warehouse Management Systems (WMS) and inventory management software. Experience with ShipHero is a plus.
- Systems & Software: Proficient with ERP, WMS, transportation systems, Asana, Slack, and Google Sheets.
- Leadership: Proven ability to lead and develop high-performing warehouse teams.
- Licence: Valid forklift and/or reach truck license.
