About the Role

The Administrative Assistant for Executive in the Health Care and Social Assistance industry plays a pivotal role in ensuring the smooth and efficient operation of executive-level activities. This position is responsible for managing complex schedules, coordinating communications, and facilitating the flow of information between the executive and internal or external stakeholders. The role demands a high level of discretion and professionalism, as the assistant often handles sensitive information and confidential matters. By providing comprehensive administrative support, the assistant enables the executive to focus on strategic decision-making and leadership responsibilities. Ultimately, this position contributes significantly to the overall effectiveness and productivity of the executive office within a dynamic healthcare environment.

Minimum Qualifications

  • High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
  • Proven experience as an administrative assistant or executive assistant, preferably within the healthcare or social assistance sector.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with calendar management tools.
  • Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
  • Excellent verbal and written communication skills.

Preferred Qualifications

  • Experience working directly with healthcare executives or in a healthcare administrative setting.
  • Knowledge of healthcare industry terminology and regulatory requirements.
  • Familiarity with electronic health record (EHR) systems or healthcare management software.
  • Certification such as Certified Administrative Professional (CAP) or equivalent.
  • Advanced skills in project management and event coordination.

Responsibilities

  • Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare, review, and distribute correspondence, reports, and presentations with a high degree of accuracy and professionalism.
  • Serve as the primary point of contact between the executive and internal teams, clients, and external partners, ensuring timely and clear communication.
  • Coordinate logistics for meetings and events, including venue arrangements, technology setup, and catering as needed.
  • Handle confidential information with discretion and maintain organized filing systems for easy retrieval of documents.
  • Assist in the preparation and follow-up of executive meetings, including taking minutes and tracking action items.
  • Support special projects and initiatives as assigned by the executive, demonstrating flexibility and proactive problem-solving.
