Position Summary

As an Order Fulfillment Coordinator, you play a pivotal role in ensuring the seamless execution of customer orders. This multifaceted position encompasses various critical responsibilities aimed at enhancing the customer experience and optimizing the order processing workflow. Your dedication to providing exceptional customer service, meticulous attention to detail, adept multi-tasking abilities, sense of urgency and unwavering professionalism are paramount to the success of this role.

Essential Functions

• Order Coordination and Customer Service: You will receive and review orders from the sales team and proactively communicate with all relevant stakeholders to ensure accurate and timely order processing. As a central point of contact, you will provide exceptional customer service by addressing inquiries, resolving issues, and keeping stakeholders informed about their orders.

• Inventory Management: You will maintain and manage finished goods inventory, ensuring adequate stock levels to fulfill customer orders promptly. Your attention to detail is critical to maintaining accurate records and fulfilling orders promptly.

• Order Entry and Processing: Accurate input of sales orders into specialized software is essential. You will manage the order lifecycle from entry to fulfillment, ensuring precision and efficiency.

• Order Picking and Packaging: Your role includes executing order picking and packaging operations with meticulous attention to detail, ensuring that orders are accurately assembled, securely packed, and prepared for shipping. Additionally, you will take responsibility for timely drop-offs of last-minute orders to FedEx drop-off locations when orders are completed after the scheduled FedEx pickup.

• Communication Hub: A core responsibility is to act as a central point of contact for the sales team, providing timely updates on order status, delivery schedules, and addressing any potential delays.

• Issue Resolution: Your adept problem-solving abilities will be essential for troubleshooting and efficiently resolving shipping and inventory-related issues. Your professionalism in handling challenges is key to maintaining the efficiency and integrity of the order fulfillment process.

Minimum Qualifications

Education

High school diploma or G.E.D. required

Experience

Proven experience in order processing, inventory management, or a related field.

Physical Requirements

• Ability to remain stationary and operate a computer and other office equipment for extended periods of time.

• Ability to communicate effectively in person, by telephone, video conference, and email.

• Ability to frequently move throughout office, warehouse, and shipping areas to coordinate order fulfillment activities.

• Ability to regularly handle, inspect, organize, package, and prepare products and shipping materials for distribution.

• Ability to frequently reach, grasp, bend, stoop, kneel, and lift items associated with order picking and packaging activities.

• Ability to occasionally lift and carry packages, products, and shipping materials weighing up to 25 pounds without assistance and up to 50 pounds with assistance.

• Ability to maintain visual acuity to accurately review orders, inventory records, shipping documents, labels, and computer screens.

• Ability to operate standard office equipment and shipping-related tools and equipment safely and effectively.

• Ability to occasionally travel locally to deliver time-sensitive shipments to carrier drop-off locations or other business-related destinations.

Work Environment

Employees in this role are exposed to a variety of hazards across environmental, activity-related, and ergonomic categories. Environmental hazards include spill potential, housekeeping issues, chemical exposure, contagious diseases, and the risk of slips, trips, and falls. Activity-related hazards involve burn or heat sources, electrical cords and tools, and energized equipment. Ergonomic hazards include lifting, awkward postures, repetitive motion, and prolonged periods of standing or sitting. Specific job functions increase these risks: sitting at a workstation for long periods can lead to back, shoulder, hand, and arm injuries, as well as eye strain; standing for extended periods may result in strains, sprains, and leg or knee injuries; walking throughout the building introduces the risk of slips, trips, falls, and strain injuries. Tasks such as cleaning up spills, packaging sample shipments, and handling materials can expose employees to bloodborne pathogens, cuts, punctures, and strain injuries. Additionally, improper use of tools or failure to maintain clear walkways increases the likelihood of slips, trips, and falls. Overall, employees must follow proper safety protocols, use ergonomic practices, and wear appropriate personal protective equipment to minimize these risks and maintain a safe working environment.
