Contract Administrator - Construction at Okie Staffing
We are seeking a detail-oriented Contract Administrator to support our client's construction operations by coordinating contracts, bid packages, permits, billing, and project documentation. This position serves as a key liaison between the estimating and accounting departments, ensuring projects move efficiently from bid through completion. The ideal candidate has a construction background, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities
- Assemble and prepare bid packages, including bid bonds, affidavits, and prequalification documents.
- Assist estimators with bid preparation, subcontract administration, and project documentation.
- Prepare and process contracts for execution.
- Obtain required permits, OKIE locates, and process applicable ODOT and municipal documentation.
- Process change orders and maintain accurate project records.
- Coordinate monthly billing for general contractors and project owners.
- Track subcontractor billing, payments, and lien waivers.
- Serve as a liaison between the estimating and accounting departments.
- Maintain organized project files and ensure documentation is completed accurately and on time.
- Provide administrative support to estimators and management as needed.
Requirements
- High school diploma or equivalent required.
- Minimum of five (5) years of verifiable construction industry experience.
- Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
- Experience with Microsoft Project and Vista by Viewpoint is a plus.
- Accounting software experience is preferred.
- Strong computer skills with the ability to quickly learn new software.
- Excellent verbal and written communication skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize multiple projects and consistently meet deadlines.
- Positive attitude, strong work ethic, and willingness to learn.
- Ability to work independently while collaborating effectively with a team.
