briefCASE Legal Support, LLC is looking for a talented multitasker who enjoys interacting with people. We're looking for a positive and professional Office Administrator to help be the face of our client, DJC Law, PLLC, a fast-growing personal injury law firm. As an employee of briefCASE Legal Support, LLC, you'll welcome visitors, clients, and fellow employees, forward faxes, answer phone calls and emails, scan and process mail, schedule meetings, and assist us with other operations as needed. The ideal candidate is a great communicator with a strong work ethic who is interested in a meaningful role and being a part of a supportive team.

Roles and Responsibilities

  • Respond to incoming phone calls and emails and make sure the right people receive all important information.
  • Schedule appointments and ensure the office and conference room calendar is accurate and up-to-date.
  • Assure incoming and outgoing mail is managed appropriately and handles deliveries.
  • Serve as face of the firm by providing every employee, client, and visitor a warm welcome when arriving and communicate any important information or directions.
  • Assist with the coordination of office activities and operations.
  • Keep stock of office supplies and place orders when necessary.
  • Submit reports and prepare proposals and presentations as needed.
  • Assist with other administrative tasks, such as data entry, copying, filing etc.

Requirements

  • High school diploma; BSc/BA in office administration or relevant field is preferred
  • Bilingual English/Spanish is required.
  • 2 years of experience as a receptionist, administrative assistant, guest service specialist, or similar position is required.
  • Proven experience as an office administrator, office assistant or relevant role
  • Outstanding communication and interpersonal abilities, customer service skills, and verbal communication skills.
  • Excellent organizational and leadership skills.
  • Familiarity with office management procedures and basic accounting principles.
  • Excellent knowledge of MS Office and office management software (ERP etc.).
  • Qualifications in secretarial studies will be an advantage.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at a time.
