Grants Administrator at AC Disaster Consulting
The successful candidate will be located within reasonable daily commuting distance to the Houston TX area and will work remote/onsite 3/2 days of the week.

- Travel/Location: Harris County area, hybrid remote and 2 days/week onsite
Mission of Role/Position Summary
The CDBG Grants Administrator (Mid-Level) support the administration and oversight of federally funded grant programs. This role will be responsible for reviewing grant applications, ensuring compliance with federal regulations, maintaining program documentation, and supporting financial management activities related to grant-funded projects.
Tasks, Duties, and Responsibilities:
Administrative Tasks
- Scheduling all key meetings, especially with ELT, including preparation of agendas, note taking and follow-up of action items
- Preparation of draft presentation/Powerpoint outlines for routine and ad-hoc meetings
- Edit and format director’s briefing memos
- Processing Kissflow requests for various processes in support of Project Delivery
- Process non-invasive and temporary ROE letters
- Tracking the status of responses from project delivery teams on data/information requests (such as requests for project narratives and splits related to the CDBG-DR/MIT transition)
Commissioners Court and Communications
- Preparing monthly Commissioners Court progress transmittals
- Preparing RCAs as needed
CDBG Leadership Administration
- Compile KPIs and update KPI tracker
- Take notes at meetings and compile action steps and due-by dates
- Keep executive action tracker up to date, including adding new items, closing out old items, and tracking progress
- Create and format regular meeting presentations
- Sending signed letters/memos to project teams (ex. monthly project schedule approval memos)
Knowledge, Skills, and Abilities:
- Ability to develop and maintain trackers, status reports, and other tools used to monitor deliverables and deadlines.
- Ability to work independently, anticipate follow-up needs, and take initiative without requiring extensive direction.
- Ability to communicate effectively and professionally with executives, managers, project teams, and other stakeholders.
- Ability to handle confidential and sensitive information with discretion.
- Ability to work effectively in a fast-paced, deadline-driven environment.
Supervisory Responsibilities
This role will not have supervisory responsibitlities.
Expected Hours of Work
Schedule may vary. Work on evenings and weekends may be required. Dependability and punctuality are paramount.
Travel Requirements
- Up to 50% travel to client onsite location is expected for this position.
Physical Demands
- Mobility required on-site with clients.
- Sitting or standing for hours at a time.
- Ability to work at a computer for extended periods of time if needed.
- Ability to manipulate up to 25 lbs. repetitively throughout the day and as needed.
Working Environment
- Emergency management personnel may work in an office or home environment or be deployed to the field which may require working outdoors in adverse weather conditions.
- Work may be on-site with clients ex: EOC, hospital, debris sites or local government buildings.
- All AC Disaster Consulting (ACDC) positions are remote work site positions with the home location agreed upon at time of hire.
- If the remote work site locations change, ACDC Human Resources must be made aware, and leadership needs to approve any site changes for business registration and payroll tax purposes.

Requirements
Experience/Education Required
- Bachelor's degree in Business Administration, Public Administration, Communications, Project Management, or a related field; equivalent relevant experience may be considered in lieu of a degree.
- 3+ years of experience in administrative coordination, executive support, project administration, program coordination, or a related role.
- Demonstrated experience supporting senior-level leaders, directors, executives, or leadership teams.
- Strong experience coordinating meetings, preparing agendas and presentations, documenting meeting outcomes, and tracking action items through completion.
- Excellent written and verbal communication skills, including the ability to edit and format professional business documents.
- Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines simultaneously.
- Demonstrated attention to detail and commitment to accuracy.
- Proficiency with Microsoft Office, particularly Word, Excel, PowerPoint, and Outlook.
Experience/Education Preferred
- Experience supporting government agencies, public-sector programs, or government contractors.
- Experience working with CDBG-DR, CDBG-MIT, HUD, disaster recovery, mitigation, grants management, or related programs.
- Experience supporting Commissioners Court, County Commissioners, City Council, Board meetings, or other governmental governing bodies.
- Experience preparing Requests for Court Action (RCAs), court transmittals, agenda items, executive briefings, or similar government documentation.
- Experience with Kissflow or other workflow/process management platforms.
- Experience preparing and processing Right of Entry (ROE) documentation.
- Experience supporting project delivery, program management, construction, infrastructure, disaster recovery, or grant-funded programs.
- Experience compiling and reporting KPIs, maintaining executive dashboards, or managing performance trackers.
Additional Qualifications
- Must be 18 years of age or older.
- Eligibility to work in the United States without employer sponsored visa is required. We are not able to employ those located outside of the US.
- Must pass company and any applicable client background check and reference check upon offer of employment.
