Payroll Specialist at Andrew's
Andrews LLC is seeking a detail-oriented Payroll Specialist to join our team. This role is responsible for processing accurate, timely, and compliant weekly payroll across our operating entities, maintaining employee timekeeping records, and serving as a primary point of contact for payroll-related questions from employees and managers.
The ideal candidate is a payroll professional who takes ownership of the payroll cycle, is comfortable working across multiple systems, and understands the importance of accuracy, confidentiality, and compliance in a fast-paced, deadline-driven environment.
What You'll Do
Payroll Processing
- Process weekly payroll, ensuring confidentiality, accuracy, compliance, and timeliness.
- Administer weekly payroll processing activities including payroll validation, audit procedures, earnings uploads, payroll balancing, and payroll submission.
- Review payroll registers and pre-processing reports to ensure employee payments are accurate and compliant.
- Process off-cycle payrolls, final pay requirements, compensation adjustments, bonuses, reimbursements, and retroactive payments.
- Calculate wages, overtime, and prevailing wage/union fringe benefit contributions as applicable.
- Prepare and submit certified payroll and Davis-Bacon reporting.
Timekeeping & Attendance
- Review and verify timesheets, work hours, and job/cost codes across job sites and projects.
- Manage employee timekeeping records, including review of worked hours, leave requests, PTO balances, and attendance exceptions.
- Conduct routine audits of employee timecards, identify discrepancies, and coordinate corrections with managers.
- Run time evaluation processes to update accrued leave balances and ensure employees are compensated accurately based on approved time records.
Deductions, Records & Compliance
- Process wage garnishments, levies, and other court-ordered deductions; administer garnishment orders and maintain supporting records.
- Ensure payroll activities comply with federal, state, and local payroll and benefits regulations.
- Maintain organized, audit-ready payroll records and supporting documentation.
Employee Support
- Serve as the primary point of contact for employee and manager payroll inquiries.
- Support direct deposit changes, tax withholding updates, PTO balance requests, payroll deductions, reimbursements, and general payroll questions.
- Review and approve employee self-service payroll requests and ensure changes are accurately reflected in payroll systems.
Reporting & Reconciliation
- Update and maintain payroll spreadsheets.
- Generate monthly payroll-related reports, including vacation accrual reports, payroll distribution reports, and retirement-related reporting.
- Participate in payroll reconciliations and support accounting month-end and quarter-end activities.
- Partner with HR, accounting, and project management to reconcile labor costs by job/project.
- Coordinate quarterly and year-end payroll and tax filings.
Systems & Process Improvement
- Support Paylocity payroll operations by maintaining accurate employee data and troubleshooting payroll or timekeeping issues.
- Partner with Human Resources and payroll vendors to resolve system issues affecting payroll processing.
- Participate in training initiatives, process improvements, and documentation updates to improve payroll accuracy and efficiency.
What You Bring
- Prior experience processing multi-site or multi-entity payroll, ideally in construction, trades, or a project-based environment.
- Working knowledge of certified payroll and Davis-Bacon/prevailing wage reporting requirements.
- Experience with Paylocity, or comparable payroll/HRIS and timekeeping systems.
- Familiarity with wage garnishment, levy, and court-ordered deduction processing.
- Strong understanding of federal, state, and local payroll compliance requirements.
- Excellent attention to detail and accuracy under deadline pressure.
- Strong written and verbal communication skills; comfortable serving as a point of contact for employee and manager inquiries.
- High level of integrity and discretion when handling confidential payroll and employee information.
- Experience supporting month-end/quarter-end payroll reconciliations is a plus.

You'll play a direct role in making sure every employee across our job sites and projects gets paid accurately and on time.
