HR Generalist/Coordinator (GME) at Residents Medical Center for Graduate Medical Excellence

Date: 6 hours ago
City: Los Angeles, CA
Contract type: Full time

HR Generalist/Coordinator (GME)

Position Summary

The HR Generalist/Coordinator — GME is a hybrid role that blends traditional HR generalist work with hands-on, day-to-day support for one or more graduate medical education (GME) residency/fellowship programs. This person works directly with residents, fellows, core and teaching faculty, Program Directors, and Program Coordinators, serving as the HR point of contact for everything from onboarding and credentialing to leave administration and accreditation-related personnel documentation. The role requires genuine prior experience inside a GME office, teaching hospital, or academic medical center — this is not a generalist role that happens to touch GME, it is a GME-fluent HR role first.

Key Responsibilities — GME-Specific

  • Serve as the primary HR point of contact for residents, fellows, and core/teaching faculty across one or more residency or fellowship programs.
  • Manage resident/fellow onboarding end to end: contracts, I-9/E-Verify, credentialing documentation, medical licensure and DEA registration tracking, malpractice/liability coverage setup, and visa sponsorship coordination (J-1 via ECFMG, H-1B) where applicable.
  • Maintain resident/fellow duty-hour compliance documentation and support ACGME site-visit and accreditation readiness from a personnel/HR file standpoint.
  • Coordinate with the DIO (Designated Institutional Official), Program Directors, and Program Coordinators on resident/fellow personnel matters — leaves of absence, FMLA, academic or administrative actions, grievances, and remediation documentation.
  • Manage resident/fellow contract renewals, stipend and salary administration, and benefits enrollment aligned to the academic training calendar (July 1 start dates, PGY-level transitions).
  • Maintain faculty appointment letters and teaching faculty credentialing files, coordinating onboarding and offboarding with program leadership.
  • Support new program development and ACGME institutional/program accreditation processes from an HR and personnel-documentation standpoint, including new program applications and complement increases.
  • Liaise with the GME office, institutional credentialing office, and Program Coordinators to ensure personnel files meet ACGME and institutional bylaws requirements.
  • Manage full-cycle onboarding and offboarding for residents, fellows, faculty, and administrative/support staff.
  • Administer benefits enrollment, leave of absence tracking, and accommodation requests (FMLA, CFRA/PFL, ADA) in coordination with the broader People team.
  • Serve as a day-to-day point of contact for employee relations questions, escalating complex matters appropriately.
  • Maintain accurate, compliant personnel files and HRIS records (e.g., BambooHR) for all employee types.
  • Support recruitment and hiring logistics for administrative and support staff within the GME office, including scheduling, offer coordination, and new-hire paperwork.
  • Help ensure compliance with federal, state, and local employment law, including California-specific requirements (wage and hour, leave laws, workplace notices).
  • Support policy development, handbook updates, and rollout of HR communications and training.
  • Assist with performance-management documentation, check-ins, and follow-up on action items.

Requirements

Required Qualifications

  • Experience in Human Resources, Healthcare Administration, or a related field, or equivalent professional experience.
  • Minimum 2–3 years of HR experience specifically within a GME office, teaching hospital, or academic medical center, working directly with residents, fellows, and faculty.
  • Working knowledge of ACGME institutional and program requirements as they relate to HR and personnel processes.
  • Familiarity with resident/fellow contract structures, duty-hour regulations, and credentialing processes.
  • Solid understanding of core employment-law fundamentals (FMLA, ADA, EEOC, and relevant state leave laws).
  • Strong organizational skills and attention to detail, with the ability to manage sensitive personnel files accurately.
  • Excellent interpersonal skills, comfortable communicating across all levels — residents, faculty, program directors, and hospital leadership.

Preferred Qualifications

  • Experience supporting a new or developing GME sponsoring institution, or a new-program ACGME application process.
  • HR certification (PHR, SHRM-CP, or similar).
  • Experience with HRIS platforms (e.g., BambooHR) and GME-specific management software (e.g., MedHub, New Innovations).
  • Experience coordinating visa sponsorship for international medical graduates (J-1 via ECFMG, H-1B).
  • Bilingual ability, a plus depending on the candidate and program population.

Benefits

  • Medical, dental, vision, disability insurance
  • A retirement savings plan with 401(k) participation
