The job in 2 sentences

You're a completionist at heart: you take ownership, close every loop, and make sure the important things get finished without someone chasing you. You instinctively simplify and automate repetitive work, starting with what actually matters.

What you'll own

  1. Finance and company admin. Coordinate our bookkeeper, fractional CFO, and accountant. Manage invoices, payments, renewals, and tax deadlines, and keep the monthly close moving.
  2. Hiring and onboarding. Run hiring operations with our recruiter, from candidate pipelines and scheduling through offers, contractor agreements, and onboarding.
  3. Vendors and legal. Research providers, manage contracts and subscriptions, coordinate legal advisers, and follow through on signatures and commitments.
  4. Priorities and follow-through. Keep founder and company priorities visible. Run our meeting cadence, goal tracking, and reporting. Make sure commitments have owners and dates, follow up when work is stuck, and flag what needs a decision.
  5. Systems and documentation. Do the work yourself, understand it, then simplify or automate what deserves repeating. Build practical AI workflows and simple skills or agents, and leave clear checklists and documentation.
  6. Founder support and research. Manage calendar, meeting prep, and occasional personal logistics such as appointments and travel. Investigate ambiguous operational needs, compare tradeoffs, recommend a solution, and carry it through.

As you make routine operations run more efficiently, you'll create room for larger projects across customer support, sales, marketing, product, and company operations.

What success looks like

  • By 60 days: You own finance, hiring, and vendor admin end to end. Deadlines and commitments are tracked, and recurring work has clear processes.
  • By 90 days: Most routine operations run without the founder's involvement. Your improvements and automations save time and reduce follow-up.
  • By 12 months: You lead cross-team projects and are growing toward Chief of Staff or senior operations scope as you create capacity and take on responsibility.

Requirements

Who we're looking for

  1. An experienced, reliable operator. You have 4+ years in operations at a startup or small company, perhaps as an early ops hire, Chief of Staff, or EA who grew into operations. You can juggle moving pieces and take responsibility for loose ends through completion.
  2. Good judgment about priorities. You figure out what matters, what can wait, and what can be ignored before building a system. You protect the founder's time, push back on low-value work, and know when to make a decision or ask for input.
  3. An AI builder. You use AI tools every day and have personally built at least one automation that replaced recurring manual work. You can create and maintain lightweight workflows, skills, or agents.
  4. A resourceful researcher. You can turn a rough request into a recommendation and a finished result. You're comfortable comparing options, learning unfamiliar tools, and stepping into different parts of the business.
  5. A hands-on approach. You're happy to handle routine admin personally and improve it as you go. You write clear processes that someone else can understand and use.
  6. Discretion. You handle financials, contracts, and personnel matters carefully and respect confidentiality.

If automating the crap out of repetitive admin makes you smile, you'll probably like this job.

How to apply

Apply through the application form with your resume, LinkedIn, location, availability to start, and a required Loom video of five minutes or less.

The Loom is not optional. Applications without a Loom link will not be reviewed.

In your Loom, show us one automation you personally built and used:

  1. What recurring task did you automate, and why was it worth automating?
  2. Show what you built and explain your contribution.
  3. When did you put it into use, and what improved?

Use dummy data or a sanitized copy if the original contains confidential information. Make sure your video link opens without a login.

If it looks like a fit, we'll invite you to a conversation about your work, including an ambiguous assignment you took from the first request through to completion.

Our target is to hire by November 14, 2026.

Benefits

  • $110,000 to $135,000 annual salary, depending on experience
  • Full-time W-2 role with benefits
  • Direct work with the founder of a profitable, customer-funded company
  • A clear path to Chief of Staff as you create capacity and take on responsibility
