The Health Science Center (HSC) is looking for an Executive Assistant II to serve as a member of the executive office administrative support team. We desire an individual who subscribes to and supports our commitment as stated above. The successful applicant will bring an expert level of administrative experience to the position and understand the demands of supporting executives in a fast-paced environment. This person must be professional, enjoy working in a high-volume environment and be able to apply strong organizational skills while being flexible in their daily routine. General Summary: The Executive Assistant II, under general supervision, performs advanced professional assistance work for high-level administrators/executives. Maintains high- level interactions with the campus community and assists with highly confidential and critical academic and/or administrative matters.

Exercises discretion and independent judgment with respect to matters of significance.

Required Education:

  • Bachelor’s degree or equivalent combination of education and experience.

Required Experience:

  • Four years of related administrative experience.

Required Special Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications.

  • Ability to multitask and work cooperatively and synergistically with others both within and outside the organization.

  • Exceptional professional decorum, interpersonal and communication skills are of critical importance, as well as planning and organizational skills.

Preferred Experience:

  • Experience in an executive office

  • Experience in a high-energy office with strict deadlines and high performance expectations

  • Experience working with diverse individuals and communities


  • Provides direct support to high level administrators.

  • Drafts and manages correspondence and communications, schedules appointments, manages calendar, and coordinates travel.

  • Prepares travel arrangements and itineraries, and may approve and process travel reimbursements.

  • Coordinates meetings, prepares agendas, organizes and tracks items and follows through on all action items.

  • Compiles reports, maintains records and other documents, and coordinates special events.

  • Evaluates documents submitted for administrator’s signature.

  • Provides support for long-range planning and scheduling activities.

  • Provides advice to management.

  • Formulates, interprets, and implements policies, rules, and regulations.

  • Plans and prepares reports, manuals, and publications.

  • Acts as administrator’s representative in dealing with third parties.

  • Plans and coordinates logistical and administrative support for events, meetings or other special functions and provides on-site support.

  • Develops, reviews, and communicates administrative procedures, standards, and methods.

  • Coordinates and monitors action items and assignments made by the administrator.

  • Plans and prepares reports, manuals, and publications.

  • Researches, compiles, and applies information, making evaluative judgments on appropriate data to use.

  • Analyzes requirements for projects or initiatives.

  • Maintains and monitors budgets and has fiscal records management responsibilities.

  • Serves as team member of the HSC Executive Office.

  • Other duties as assigned
