Position Purpose:


This individual will be responsible for customer facing and administrative tasks supporting the office and Marketing team. Position requires working knowledge of computers exceptional customer service, communication skills, attention to detail, sense of urgency and the ability to handle multiple tasks.

Reports To: Team Lead Support Operations and Manager Support Operations


Peers: Support Operations Team

Essential Job Responsibilities:


  • Serve as an ambassador to PDS clients, callers and visitors


  • Greet all guests and office personnel in a professional and friendly manner; offering and providing them with refreshments and alerting staff of their arrival


  • Maintain front reception, conference rooms, and board room including set up/cleanup of rooms; ensure an adequate supply of refreshments and publications are available for visitors


  • Assist with meeting room scheduling, including virtual meeting set up


  • Manage all incoming/outgoing mail; open, date stamp, and distribute mail to mailboxes


  • Order and maintain supplies for the office; act as coordinator with outside vendors (i.e. services such as vending machine, plants, and coffee)


  • Assist in coordinating maintenance of facility


  • Must work as a team member and perform actions consistent with established PDS policies and procedures including: safety, attendance, punctuality and professionalism


  • Manage and maintain office and marketing supplies


  • Assist with planning and executing corporate events


  • Handle clerical support tasks


  • MISC tasks and projects for office and marketing

Required Qualifications:


Education: High School Diploma or equivalent


Job Related Experience:


  • Minimum 1-2 years? experience in an administrative role


  • General Office Skills: Computer software, phones, copier, fax machine


  • Computer literacy in Microsoft Office applications


  • Strong organizational skills with the ability to manage multiple tasks concurrently


  • Ability to work individually and as a member of a team


  • Strong and accurate data entry skills


  • Professional phone etiquette


  • Efficient and effective follow up skills


  • Analytical and multi-tasking skills to work in a fast paced environment

Additional Skills/Knowledge:


  • Excellent communication skills


  • Negotiation experience or training


  • Ability to lift 50 lbs.

Work Environment:


  • Office setting


  • Position located at front desk

Hours:


  • 25 hours Monday through Friday, between the hours of 9 AM - 3 PM, but need to have flexibility based on support needed for events and office coverage.
